Summary

Location: Staffordshire, ST14 8XR Working Hours: Part-time, 20 hours per week flexible within the hours of 8am – 5pm Salary: £25,467.00 per annum + Excellent benefits

We are seeking a highly organised, proactive, and reliable Activities Administrator to join our Education, Skills & Work (ESW) team within the prison. This vital role supports the Head of Offender Education, Skills & Work (HOESW) and the wider team to ensure the smooth, effective delivery of education, skills, and work programmes that make a real difference to learners and the wider establishment. Please note you will be working with the prisoners face to face for this position.

Key purposes:

1. Administrative Support
- Prepare reports, briefings, presentations, and correspondence.
- Assist with coordinating key operational tasks and priority actions for the ESW leadership team.
2. Meeting Coordination
- Record clear, accurate, and timely minutes.
- Track actions and proactively follow up with responsible staff.
3. Events & Recognition
- Plan and support learner recognition events, achievement ceremonies, and staff/peer mentor appreciation activities.
- Coordinate venues, materials, certificates, and resources.
- Produce promotional materials such as posters, notices, and invitations.
4. Record Keeping & Data Management
- Maintain accurate records, including training logs for ESW managers.
- Manage digital and physical filing systems to ensure information is organised, accessible, and audit-ready.
5. Communication & Coordination
- Act as a central point of contact for internal and external enquiries related to Education & Work.
- Provide frontline administrative support within the prison’s college areas, including supporting learners and college-based managers.
6. Compliance & Professional Standards
- Follow prison security procedures, data protection rules, and safeguarding requirements.
- Maintain high professional standards when dealing with staff, learners, visitors, and external partners.
- Identify opportunities to improve and streamline administrative processes.
