Summary
Condensed Maintenance Role – Job Description
Overview
The maintenance role is responsible for the day-to-day upkeep, safety and presentation of the entire estate. The position requires proactive monitoring, timely repairs, adherence to health and safety standards and strong communication with the Property Manager, Directors, contractors and residents.
Daily Duties
Check gates, lighting, and common areas for faults; report issues immediately.
Keep bin rooms clean and orderly, ensure correct waste disposal, put bins out for collection and return them after.
Maintain estate tools, equipment and lighting supplies.
Engage politely with contractors and residents, directing queries to the Property Manager when necessary.
Routine Maintenance
Carry out minor repairs to doors, hinges, closures, fences, gutters, signage and road markings.
Maintain good standards of internal paintwork across entrances, corridors, bin stores and common doors.
Address any damp patches, leaks or defects as soon as they are identified.
Pressure-wash internal and external flagstones at least twice a year.
Sand and maintain benches and balcony furniture during winter months.
Gutters & Roof Areas
Clean gutters on garages, penthouses and cottages three times a year.
Pay special attention to tree-affected areas.
Arrange assistance for Mews cottage gutters due to working-at-height requirements.
Use the estate drone (training provided) for inspections.
Lighting & Compliance
Check estate lights weekly and replace bulbs from stock.
Carry out and record a monthly emergency-light flick test.
Adjust lighting timers as required.
Ensure contractors adhere to site rules, H&S expectations and fire safety requirements.
Contractor Interaction
Meet contractors on arrival, explain site expectations, and alert the Property Manager of their presence.
Show potential contractors around when tendering for works.
Build positive working relationships with regular contractors (gate, lift, electrical etc.).
Resident Interaction
Maintain a polite and professional relationship with residents.
Direct complaints or issues to the Property Manager or a Director immediately.
Site Monitoring
Walk all buildings weekly to identify future maintenance needs.
Report issues such as damaged gutters, cracked surfaces, unsafe areas, vandalism or structural concerns.
Support colleagues when two-person tasks arise (e.g. cleaning high-level lights).
Administration & Coordination
Check that colleagues start and finish work at their agreed times.
Attend monthly site walks with the Property Manager before Directors’ meetings to discuss planned work.
Maintain accurate records of emergency-light tests and other compliance checks.
Manage estate fuel needs and use the estate card only with prior approval.
Training & Development
Maintain up-to-date training certificates and meet quarterly with the Property Manager and H&S advisor to review training needs.
Other Responsibilities
Maintain a supply of salt and grit roads/paths when required.
Keep the site professional, safe and well-presented at all times.
Represent the estate positively and work collaboratively with the Property Manager and Directors.
