Summary
Overview of Job:
To deliver an effective customer orientated reception service to all tenants, visitors and groups, providing the highest possible standards of customer service and providing administrative support for day to day activities.
Main Duties & Responsibilities:
1. To provide a welcoming and professional reception service. Taking responsibility for ensuring that all incoming post is sorted and received and that parcels are logged and forwarded to authorised business users.
2. Dealing effectively with face to face, telephone and email enquiries. Completing booking forms to ensure customer requirements are met, issuing receipts for cash and card payments taken and reconciling payments received.
3. Working effectively as a team member, sharing information and supporting colleagues in delivering open days, events and projects such as ‘Holiday Hunger Schemes’ (This could include setting up / clearing spaces, supporting mealtimes, providing First Aid )
4. To ensure that monitoring and recording systems are used (computer based and manual) to share information and support service delivery: · Liaise with Deputy Manager to ensure booking forms are completed each week for ‘regular’ bookings listed on wipe board. Ensure charges and arrangements are clearly marked and liaise with customers as required to clarify and/or confirm bookings.
· Support the Deputy Manager to compile scheme registers where required. Liaising with parents/carers where necessary.
5. To support the wider team ensuring that hireable space is available as booked including the setting out, clearing/cleaning of rooms/space. In addition to take responsibility for the coordination of refreshments and resources requested. Checking spaces after each hire to ensure the highest possible standard is maintained and any damage is reported promptly.
6. Ensure that the presentation of the reception and communal areas are excellent at all times including Kitchens, Car park and Bin store. In particular ensuring that daily Building checks are completed and that all equipment and facilities are being used in a safe and effective way with requirements being documented and urgent actions being reported to the centre manager.
7. To undertake personal development in the role. Note: The role is subject to a DBS Check. First Aid Training will be provided General Duties:
