The National Science Center in Animal Health (NSCAH) Department represents APHA science on estates projects across the APHA estate, working to ensure the APHA secures the necessary continuity and effective development of capabilities that is required to continue delivering world leading science in the interest of Animal Health.
In this role you will provide general administrative and project support across the NSCAH Department. You will develop and oversee administrative processes within the Department and ensure these are being followed, whilst maintaining best practice to enable the wider NSCAH team to operate effectively. You will work to build, manage, and maintain relationships with a range of stakeholders, and deputise and act on behalf of the NSCAH Business Manager working to provide ad-hoc secretariat support to the NSCAH team as and when required.
This post will provide a range of business, project, and administrative support, within the NSCAH Department. This will include the following broad tasks:
Administrative Support
- General adhoc support of NSCAH Office when required
- Support NBC Project related work as appropriate
- Undertake Information Management Activities, such as applying retention periods and version control, as well as maintenance and management of the NSCAH SharePoint Online Site
- Adhoc support of NSCAH Senior Management Team when required
- Support the NSCAH Department to remain on target with the Departmental scorecard
- Work closely with NSCAH Head of Department, Business Lead, and Business Manager to implement and progress internal NSCAH projects
- Help manage communication channels across NSCAH
- Place orders for all office items required by NSCAH on the Oracle purchasing system
Finance
- Collate financial reports to support Business Manager with monthly financial budgeting, forecasting and reporting
- Support with monthly financial housekeeping activities such as GRNI Reports, Unpaid invoices, Open POs
- Contact for time recording queries, procurement, i-expenses, invoice payment, new suppliers, adjusting journals
- Maintenance of project code tasklist
- Demonstrate value for money with own actions. To promote the cost-effective use of office consumables and NSCAH equipment. Act as a role model in demonstrating positive behaviours in the management of spending allocated budgets
Project Support
- General support of NSCAH internal project workstreams, such as masterplanning, plot allocation, capital estates project initiation etc.
- Support of APHA Estate Focus and Working groups as required
- Support with NSCAH Lessons Learned and Benchmarking activities
- Coordination and compilation of progress reporting to wider APHA Science on capital estates projects
Quality
- Act as a Quality representative including the identification and first-response of any problems arising that have an impact on quality with the NSCAH Quality Manager, escalating where needed
- Monitor departmental and agency processes and ensure compliance with industry standards and agency procedures
- Support NSCAH teams with document management processes as outlined in APHA and NSCAH policies
- Work with Business Manager to implement continuous improvement on departmental processes
- Establish strong links with APHA Quality Network
Recruitment & HR
- Point of contact for a range of staff administration processes
- Provide advice and support on the recruitment system from initial request to fill the vacancy through to recruitment uploading vacancy details, support for the vacancy holder, paperwork checks and uploading results etc.
- Help manage onboarding process with the vacancy holder
- Ensure recruitment monitoring spreadsheets are regularly updated
- Support of interview organisation when required
Secretariat Support
- Work with action owners to update and work to close actions within agreed deadlines
- Mark forward items for future meetings
- Prepare minutes and record action points on the log
- Maintain decisions log for auditability
- Prepare agendas and papers in advance of meetings when required
- Prepare chair’s brief ahead of the meeting
- Schedule and organise meetings
Safety
- Act as a role model by displaying behaviours which support APHA safety values and behaviours, utilising own strengths effectively and identifying and addressing own safety development needs
- Report all accidents, incidents and near misses as soon as possible after the event
- Identify and discuss any problems arising that have an impact on the APHA Health and Safety policy with my Line Manager and the Departmental Safety Advisor
