Summary
Job responsibilities: .Provide leadership and management of the staff and business. .To enable the practice to meet the mutually agreed aims of the Principal GP. . To enable a safe, profitable, efficient and effective working environment. . Maintain effective communication both within the practice and with relevant outside agencies. . Monitor and evaluate performance of the practice team. . Keep up to date with current affairs and changes within the PCN, local and national Primary Care and the wider NHS, implementing change as required. . Ensure CQC standards are met. Human Resources . Oversee recruitment and retention of staff. . Ensure staff are legally and gainfully employed, following employment laws. . Ensure all staff have up to date and appropriate DBS certification. . Monitor skill mix and manage staff levels within budget. . Support and mentor staff as individuals and as team members. . Ensure all staff are adequately qualified and trained to fulfil their roles. . Organise and oversee staff inductions. . Implement and oversee effective systems for the resolution of disputes, grievances and if necessary, disciplinary actions. . Maintain up to date HR documentation. . Manage staff annual leave and keep abreast of all annual leave taken by staff. . Deal with sickness policies and arrangements when staff call in sick. .You will have access to a professional HR company for advice, this is provided by our local PCN. . Source and book training where and when needed. Business and Finance . Negotiate with the ICB, PCN and NHS England to reconcile and ensure the practice receives appropriate payments. . Monitor, manage and reconcile purchase sales and all invoices for purchases etc . Manage incoming and outgoings and recordings of petty cash and cheques. Organisational . Arrange meetings, prepare agendas and distribute minutes. . Develop, maintain and review practice protocols and procedures. . Ensure both practice premises are properly maintained and that adequate fire prevention and security systems are in situ and in working order. . Manage procurement of practice equipment and supplies, within budget. . Maintain and review Health and Safety policies and procedures. . Arrange and ensure appropriate insurance cover. . Ensure the practice has adequate disaster recovery procedures in situ. . Arrange annual PAT testing and maintenance of equipment. . Monitor and oversee Locum requirements. Patient Services . Ensure service development and delivery is in accordance with local and national guidelines. . Ensure practice is compliant with NHS contractual obligations concerning patient care. . Maintain registration policies and monitor patient turnover and capitation. . Oversee surgery timetables, rotas and holiday cover. . Manage an effective complaints management procedure. I.T . Manage and support staff in the use of IT and arrange training when needed. . Monitor standards for data entry and data collection. . Ensure the practice has effective IT data security, back up, maintenance and disaster recovery in situ. . Liaise with the ICB regarding systems and IT equipment procurement and funding. Confidentiality . Patients have the right to expect that the sensitive information they entrust us with, is treated in confidence and that the staff will respect their privacy and act appropriately. . The Practice Manager will treat all information concerning patients, staff, practice business and any other sensitive data as strictly confidential and only divulge information in accordance with practice policies and procedures. Health and Safety . The Practice Manager will implement and lead on the promotion and management of their own and others health, security and safety, in accordance with the Health and Safety policy, the Practice Health and Safety manual, and the practice Infection Control policy. The Practice Manager will participate in any training implemented by the practice as part of this employment. . Participate in an annual performance review, including being responsible for maintaining a record of your own training. . Will be responsible for ensuring all staff are given protected time to complete all mandatory training. Quality .The Practice manager will strive to maintain quality within the practice. .
