Summary


Location: Windmill Point, Coventry (with occasional cross-cover at local sites)
Flexible working: Some home working available via flexible working request approval
Travel: Independent travel between sites required – reimbursed via e-expenses

We’re seeking a Team Secretary to join our Children & Young People’s Learning Disability Services team, providing vital administrative support to our community nursing and therapy teams.

As a key first point of contact, you will help ensure the smooth running of daily operations, manage clinics and correspondence, and coordinate a range of essential administrative tasks. You will work closely with the Medical Secretaries and the wider admin team to ensure a seamless, high-quality service for both our colleagues and the families we support.

Key Responsibilities

· Deliver a professional, confidential, and compassionate administrative service to the clinical team.

· Manage referral pathways, clinic bookings, and patient follow-up appointments with accuracy, efficiency, and respect.

· Support the Medical Secretaries to coordinate work effectively, demonstrating collaboration and commitment to excellence.

· Communicate sensitively and professionally with patients, families, and colleagues, showing integrity and compassion in every interaction.

· Handle confidential information responsibly, maintaining the highest standards of integrity, respect, and trust.

· Contribute to continuous improvement by identifying opportunities to enhance processes and uphold excellence in service delivery.

· Support clinicians in creating social stories for service users

· Support meetings by taking notes.

· Support with Sensory workshops

· Proven experience in a team secretary, medical secretary, or similar administrative role.

· Excellent communication, organisational, and IT skills.

· Ability to work independently, prioritise tasks, and use initiative in a fast-paced environment.
