Summary
COMPLIANCE ADMINISTRATOR
Salary: £26,500 per annum
Working hours: Monday - Friday between the hours of 8am and 5pm
Location: Home Based
G4S Facilities Management are looking for a highly organised and detail-oriented Compliance Administrator to provide essential administrative support, ensuring the contract operates in full compliance with all internal standards and external obligations.
This is a full-time, remote (home-based) position, working Monday - Friday between the hours of 8am and 5pm.
Core responsibilities:
Operations
Assist the business in managing the contract to ensure all buildings and maintenance activities adhere to statutory, mandatory, and legislative requirements, as well as the Tenant’s/Client’s specifications.
Monitor and track contract compliance performance, identifying and planning future compliance activities. Produce detailed and accurate reports on compliance status for management review.
Track statutory compliance tasks, ensuring appropriate staff or subcontractors are mobilized to prevent non-compliance issues. Identify, track, and secure documented evidence of remedial works following planned maintenance.
Coordinate the record-keeping process to ensure the upkeep and updating of the document control centre. Produce all necessary operational, commercial, contractual, and compliance documentation.
Assist with the preparation and delivery of all internal and external audits. Issue Authority to Works for subcontractor site attendance after specified checks are completed.
Develop close working relationships with the G4S team, subcontractors, and support functions to ensure the effective delivery of the contract, preparing and delivering status updates to the Contract Management team as required.
General
Ensure that all documentation related to the contracts and overall G4S service delivery consistently reflects the professional image and standards of the Company.
Support Management in the proper implementation of and adherence to corporate policies and procedures, as well as relevant statutory regulations, to ensure a consistent, legislatively, and contractually compliant service is delivered.
Help perpetuate and maintain a culture committed to meeting statutory and corporate health, safety, and environmental requirements, ensuring safe and secure working environments.
Ensure total compliance with G4S FM policies and procedures, specifically assisting in ensuring the Health & Safety Policy is adhered to, including monitoring and reporting on PPE non-compliance or unsafe practices as detailed in the Health and Safety Manual.
To be successful in this role we are looking for someone who has-
Proven working knowledge of Computer Aided Facilities Management (CAFM) systems and high proficiency in Microsoft and Google programs (e.g., Word, Excel, Sheets, Docs).
Good foundational knowledge of basic building and statutory compliance requirements.
Demonstrable ability to motivate oneself and others, effectively prioritize tasks, and organize workflow efficiently in a dynamic environment.
Excellent written and verbal communication skills with the ability to work openly and collaboratively with colleagues, subcontractors, and management at all levels.
