Summary
We are seeking an experienced, professional and friendly Admin Assistant / Receptionist to join our team. The ideal candidate will be the first point of contact for our students and visitors, providing exceptional service and support. This role requires strong administrative and organisational skills, as well as proficiency in various office software applications. The Admin Assistant / Receptionist will play a crucial role in ensuring the smooth operation of our front office environment.
Duties
Greet and welcome visitors and students in a warm and professional manner.
Answer incoming phone calls, providing excellent phone etiquette and directing calls to the appropriate personnel.
Manage appointment scheduling.Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
Assist with clerical duties such as filing, photocopying, and scanning documents.
Prioritise and manage own workload with general supervision, where necessary, using a measure of independence and initiative in or order to commence tasks and complete work within deadlines / targets set.Maintain an organised office environment by managing supplies and equipment.
Support team members with administrative tasks using computerised systems.
Update our Company social media using content gathered by our Keyworker teams and sharing on feeds such as Facebook, X, Insta, Tik Tok
Essential Requirements
GCSE English and Maths or equivalent qualification at Grade C/Level 4 or equivalentExperience of working in an office / administration or reception environment
Experience of using Microsoft office systems effectively
Experience of providing support to a range of people
Strong organisational skills with the ability to manage multiple tasks effectively
Ability to successfully manage information / queries and deal with issues using initiative
Familiarity and confidence with social media
Good interpersonal, prioritisation and communication skills
Excellent IT skills, including knowledge of Microsoft packages
Ability to prioritise and manage own workload with general supervision to meet deadlines / targets in addition to working as part of a team
Ability to work accurately to deadlines with attention to detail.
