Job Description
We are seeking a highly organised and detail-oriented Administrative Officer to support the daily operations of our UK-registered charity. This is a primarily home-based role with weekly in-person meetings with trustees in Birmingham. The position involves close coordination with the Country Manager in Pakistan and engagement with donors to ensure smooth administrative processes.
The successful candidate will provide comprehensive administrative and clerical support to the UK trustees, prepare reports, manage records, and assist with data analysis related to donations and Gift Aid claims. The role also includes maintaining communication with donors and members of the public, taking meeting minutes, and supporting fundraising activities when required.
Key Responsibilities
Provide administrative and clerical support to UK trustees.
Prepare and present reports for trustee meetings.
Liaise with donors, the Country Manager in Pakistan, and members of the public.
Monitor and analyse donations received via PayPal and bank accounts.
Respond promptly to donor enquiries and website comments.
Create visual reports and graphs using registration data from Pakistan.
Take accurate meeting minutes and distribute them to trustees.
Collate data for quarterly Gift Aid claims.
Maintain accurate records and filing systems.
Support occasional fundraising events, including some weekend work.
Undertake other administrative tasks as needed to ensure smooth charity operations.
Skills and Experience Required
Strong administrative and organisational skills.
Good numeracy and ability to analyse financial data.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data analysis tools.
Ability to produce accurate and professional reports.
Fluent in English and Urdu.
Experience in a charity or not-for-profit environment is desirable but not essential.
Additional Information
Primarily home-based role with weekly in-person trustee meetings in Birmingham.
Preference will be given to candidates based in or near Birmingham.
Flexible working hours (10–15 hours per week, minimum 2 hours per day).
Occasional weekend work may be required for fundraising activities.
