Summary
Facilities Assistant
Salary: £25,394 to £27,000
Contract: 12 Months Fixed Term (Maternity Cover)
Hours: Full Time, 35 hours per week, Monday to Friday
Location: Spelthorne House, Thames Street, Staines, TW18 4TA - Onsite 5 days a week
DBS: Basic
You’ll be at the heart of keeping our offices and sites running smoothly. From being the first point of contact for staff, contractors, and visitors, to supporting the day-to-day maintenance and organisation of our spaces, you’ll help ensure our working environments are safe, efficient, and welcoming.
You'll be involved in a variety of tasks, managing post, monitoring supplies, supporting office moves, coordinating contractors, and keeping everything running behind the scenes. No two days will be the same, and you’ll play a key role in creating a positive experience for everyone who visits or works in our offices.
Key Responsibilities
* Act as the first point of contact (including reception) for the Facilities Management team and deal with enquires by telephone, e-mail, and correspondence, or for their visitors/members of the public contacting them
* Manage incoming/outgoing post in the most cost-effective way, ensuring systems and equipment are fully operational at all times
* Building Management: Conduct regular building inspections, resolving or reporting maintenance issues repairs, health and safety and supplies issues and monitoring to ensure completion. Work with the Facilities reporting system
* Book and organise office spaces, including arranging furniture and hospitality. Ensuring office space is utilised and fit for purpose
* Manage inventory of supplies and equipment throughout the site, ensuring that stock levels are maintained and orders are placed in a timely manner
* Support various facility-related projects, including renovations, office relocations, and installations
* Liaise with external vendors and contractors for services such as cleaning, maintenance, and repairs. Escalating issues regarding quality of service and adherence to company to management and site inductions
* Be responsible for resolving customer queries in a timely manner, maintaining records, data and filing systems and supporting the Facilities management team with general administrative tasks as required
* Provide cover for colleagues as required to ensure all team tasks are effectively delivered at all times
* Assist with processing orders and invoices, receipt of goods, booking in and receipting items
More About You
* Educated to GCSE level (or equivalent) in Maths and English (Grades A–C)*
* Experience in a similar customer-facing role or a willingness to learn
* Basic IT skills (MS Office) and a willingness to learn new systems
* Strong organisational and multitasking skills, with the ability to prioritise effectively
* Excellent communication and interpersonal skills, remaining calm under pressure
* Able to work independently and as part of a team, showing initiative and problem-solving skills
* You’re engaging with a professional approach, ensuring a positive first impression for all internal and external customers
* Able to manage competing demands during busy times, keeping service levels high
* You are performance-focused, skilled at multitasking and prioritising, ensuring a wide range of facilities services are delivered effectively
