About the Role
We are seeking a proactive and customer-focused Call Handler to join our client in fantastic offices in Swinton in supporting a large-scale housing project. As the first point of contact for residents, you will play a vital role in delivering exceptional customer service – handling incoming calls, emails, and text messages, recording accurate information, and ensuring that resident queries are resolved efficiently and professionally.
You’ll work closely with on-site teams, including surveyors and project staff, to coordinate appointments, manage communications, and help maintain smooth day-to-day operations.
Key Responsibilities
Handle incoming calls from residents in a courteous, professional, and empathetic manner.
Record all enquiries, requests, and updates accurately within electronic job files.
Manage and respond to inbound emails and text messages, ensuring timely and appropriate replies.
Make outgoing calls to arrange, confirm, or amend resident appointments as required.
Liaise with on-site surveyors and operational teams to provide updates on access, appointments, and schedule changes.
Maintain up-to-date and accurate resident records in line with data protection standards.
Prioritise and allocate tasks effectively, escalating urgent or complex matters when necessary.
Provide clear, consistent information to residents regarding project activities and appointments.
Support general administrative functions including data entry, record keeping, and reporting.
Collaborate with colleagues across teams to ensure efficient service delivery and positive resident experiences.
Skills & Experience
Essential:
Excellent telephone manner with strong verbal communication and active listening skills.
Highly organised with excellent attention to detail.
Proficient in Microsoft Office, particularly Excel (data entry, spreadsheets, and tracking).
Ability to multitask and manage priorities in a busy environment.
Strong written communication skills for professional emails and record updates.
Team-oriented, with a positive attitude and commitment to delivering high-quality service.
Desirable:
Previous experience in a customer service, contact centre, or housing-related role.
Familiarity with CRM or call-handling systems.
Understanding of safeguarding and data protection principles.
