Summary
Sales Administrator – Spare Parts
We’re working with a well-established engineering business that designs and supplies specialist equipment across the UK. Due to continued growth, the team is now looking for an organised and proactive Sales Administrator to join their Spare Parts division at their office.
This is a fantastic opportunity for someone with strong sales administration experience who enjoys working in a busy, collaborative environment, supporting both customers and internal teams to ensure smooth order processing and excellent service.
Key Responsibilities:
Analyse customer RFQs and identify required parts
Prepare and issue quotations using a bespoke ERP system
Follow up quotations and convert to confirmed sales orders
Process order acknowledgements and raise purchase orders
Liaise with suppliers, check confirmations, and track deliveries
Organise dispatch notes, delivery terms, and logistics
Manage part numbers, pricing, and stock information on the ERP system
Assist with warranty claims, returns, and credit notes
Prepare invoicing files and contribute to regular team meetings
Ideal Candidate:
Proven experience in an office-based sales administration or order processing role
Excellent attention to detail and organisational skills
Strong customer service approach with clear communication skills
Calm, professional manner under time-sensitive conditions
Experience using ERP or CRM systems (advantageous)
Package:
Full-time, permanent position – 37.5 hours per week
£30,000 per annum
24 days annual leave + bank holidays + Christmas shutdown
