Summary
Personal Assistant
Do you have exceptional organisational skills and the ability to support senior leaders in a fast-paced environment?
We are seeking a proactive Personal Assistant to provide vital support to our Senior Management Team (SMT) within our organisation. As part of a collaborative and high-performing team, this role has arisen to ensure the smooth running of day-to-day operations at a senior level. The SMT plays a critical role in driving the company’s strategic objectives, and this position will help enable efficient decision-making and effective delivery across the business.
What you will do
In this role, you will be the key point of coordination for senior leadership, ensuring the seamless management of diaries, meetings and communications. You will work largely independently, supporting both internal teams and external stakeholders while maintaining confidentiality and professionalism.
Day-to-day, you will:
• Manage diaries for SMT and divisional teams
• Oversee mailbox management and respond to or triage emails
• Arrange UK and international travel in line with company policy
• Organise internal and external meetings, including coordinating visitor access
• Book meeting rooms, refreshments and lunches; issue agendas and take minutes where required
• Prepare and format documents, letters and PowerPoint presentations
• Submit expense claims for SMT for approval
• Provide essential out-of-office support, including message handling and follow-up
• Collate annual leave requests and flag any issues
• Coordinate performance review meetings between SMT and direct reports
• Provide cover for other PAs to ensure continuity of service
• Organise company vehicle maintenance for SMT
• Support general administration such as bid support, IT queries, printing, scanning, purchase requisitions and e-filing

• Discreet, diplomatic and able to manage confidential information professionally
• Strong communication skills and the ability to build effective relationships with multiple stakeholders
