Summary
The Operation and Compliance Officer will work approximately 30 hours a week over 4 days. Their role will be to support the practice manager with the following: Building Building maintenance organising any building repairs and maintenance, decorating projects (following discussion with manager) check clinical rooms weekly and provide quarterly audits. Claim appropriate reimbursements Eg rates, water etc. and make sure the surgery is always kept tidy and clean. Fire Safety weekly fire alarm checks and monthly emergency lighting checks. Legionella Testing arranging regular testing of water as required. Waste management liaise with waste management companies as required and provide waste audit 6 monthly. Health and Safety Carry out risk assessments when appropriate. Fire safety, carry out fire alarm checks and fire drills when appropriate. Make sure fire safety policy is kept up to date and adhered to. All annual safety checks in place. Keep health and safety policy up to date. Provide Health and safety audit annually. COSH Risk Assessment, audit and Training. Organise PAT testing annually. IT/Telephones First point of call with any IT, software or telephone problems. Liaising with IT support to fix any problems. Resetting of staff passwords on IT systems and smartcards Setting up of new staff on systems Staffing and HR Maintain HR files for all staff. Manage/ update Teamnet as required monitoring it on a weekly basis. Although not part of main job function, it may be necessary for the operations and compliance officer to provide emergency cover in the following back-office areas. Answering telephones Scanning of internal post Processing of repeat prescriptions Be available by phone to admin staff for advice until 6.30 pm on your working day. Occasional Saturday working from 9-5pm may be required. Policies and Protocols Help PM with policies and protocols on First Practice Management. Complaints, Significant Events and all Meetings Collate and file all complaints and significant events. Ensure response to complaints are sent within the appropriate time frame. Ensure significant events are managed and dealt with by appropriate staff following discussion at meetings. Organise and manage monthly meetings Eg: D/N and palliative team meeting, Safeguarding meeting, Practice meetings. Confidentiality Make sure that the practice stays compliant. Carry out an annual audit. Submit annual declaration. Ad Hoc This is not an exhaustive list. Other tasks may be added which play to the applicants personal strengths and assist the practice manager with their workload.
