Summary
The Office Administrator combines secretarial and administrative duties and is both central to the smooth running of the school and key to successful communication with the entire
Birchfield community: parents, pupils and staff. The incumbent is a central point of contact for all communications, internal and external, in this busy school office and will work closely with the Headmistress offering professional and confidential support. Based at the heart of the school, it is essential that the Office Administrator is committed to the school and its values.
Responsibilities:
▪ Ensuring the smooth operation of the school office and administrative function
▪ Having oversight and management of the registers and attendance system.
▪ Working closely with the Head of Prep/Seniors on updating calendar entries
▪ Being the primary point of contact for telephone and email queries
▪ Setting up accurate pupil records in compliance with GDPR requirements
▪ Assisting the Transport Manager with minibus enquiries, producing schedules and
liaising with minibus drivers daily, as required
▪ Requesting files from previous schools, pupil and staff references and reports
▪ Collating and issuing school reports and whole school letters for staff
▪ Forwarding required pupil information, including safeguarding files to future schools
▪ Working with the Marketing/Admissions Assistant to produce the weekly newsletter
▪ Overseeing the effective delivery of communications on the Headmistress’ behalf
▪ Acting as an ambassador for the school and Headmistress in all matters
▪ Handling all written correspondence and general administrative support
▪ Managing the Headmistress’ diary and making appointments
▪ Acting as “gatekeeper” for the Headmistress in relation to all parties
▪ Assisting the Headmistress with ad hoc projects, as required.
Flexibility:
To undertake such other duties as are agreed to being in keeping with the general nature of the role.
Safeguarding:
To be aware of and implement the measures detailed within the School’s Safeguarding Policy and to work with the Designated Safeguarding Lead to ensure the welfare and well-being of all pupils at the school.
