Summary
Administrator - Operations Team (Public Sector)
Location: Birmingham City Centre (Fully Onsite)
Duration: 6-Month Temporary Assignment
Hours: Full-time, 37 hours per week (Monday - Friday)
Pay Rate: £12.88 per hour
Start Date: ASAP
Our public sector client based in Birmingham City Centre is seeking an organised and detail-orientated Administrator to join their Operations Team. This role focuses on facilitation and administration tasks and offers the opportunity to contribute to essential contract processing operations.
This position is fully onsite, five days per week. There is potential for hybrid working at a later stage, depending on operational needs.
Key Responsibilities:
- Manage and monitor two shared inboxes handling incoming contract documentation from external suppliers, ensuring prompt triage and response between 8:00am and 5:00pm.
- Review contract attachments for accuracy and completeness.
- Record valid documentation on a central register, assign a reference number, and save files within a designated shared folder structure.
- Create and record a digital pathway for document access across the wider team.
- Notify contractors of any errors or missing information and manage the process for resubmission.
- Follow set guidelines to ensure consistency and maintain high-quality control standards.
Essential Skills & Experience:
- Exceptional attention to detail with a strong focus on accuracy.
- Excellent organisational skills with the ability to prioritise workload and meet deadlines.
- Strong verbal and written communication skills.
- Collaborative and team-oriented approach.
- Proficient in Microsoft Office applications, including SharePoint, Outlook, Excel, Word, and PowerPoint.
Additional Information:
- This role is subject to a DBS check and three years of referencing.
- Please note the organisation has a two-week closure over the Christmas period.
