Job Title: GP Receptionist Department / Team: Reception and Administration Services Base: Middlestown Medical Centre Hours: Part-time / Full-time (to be agreed) Reports to: Reception Manager / Office Manager Accountable to: Practice Manager Job Summary: The GP Receptionist plays a vital role in the smooth day-to-day running of the practice. As the first point of contact for patients and visitors, the post holder is responsible for providing a welcoming, professional, and efficient reception service. They will assist with a variety of administrative duties to support patient care and ensure the effective functioning of the surgery. The post holder must be organised, adaptable, and capable of working under pressure while maintaining a patient-focused and confidential approach. Main Duties and Responsibilities: Reception and Patient Interaction Greet patients and visitors in a courteous, efficient, and professional manner. Answer telephone and face-to-face enquiries, signposting patients appropriately. Book, amend, and cancel patient appointments using the clinical system (e.g. SystmOne). Support patients with queries relating to appointments, prescriptions, test results, and general enquiries. Handle incoming and outgoing communications, including emails, letters, and documents. Administrative Support Process repeat prescription requests following practice protocols. Scan, upload, and file clinical and non-clinical correspondence to patient records. Manage and monitor patient recall and reminder systems. Maintain patient records accurately and confidentially. Prepare documents for clinics and assist clinical staff with administrative needs. Confidentiality and Compliance Adhere to confidentiality policies at all times, in line with GDPR and practice procedures. Maintain awareness of and compliance with practice policies, including health and safety, safeguarding, and data protection. Teamwork and Communication Work collaboratively with colleagues in reception, administration, and the wider practice team. Attend team meetings and participate in ongoing training and development sessions. Escalate any patient concerns or operational issues to the Reception Manager or relevant senior staff member. IT and Systems Use Use clinical and administrative systems (e.g. SystmOne, NHS Mail) competently. Support patients in accessing online services and digital tools where applicable. Assist in monitoring waiting areas, appointment flow, and incoming queries. Person Specification Criteria Essential Desirable Qualifications Good general education (e.g. GCSEs or equivalent) NVQ Level 2 or 3 in Business Admin or Customer Service Experience Customer service experience in a public-facing role Previous experience in a GP surgery or NHS setting Skills & Knowledge Strong communication and interpersonal skills Familiarity with SystmOne or similar clinical systems Good IT skills and attention to detail Understanding of medical terminology Ability to stay calm and professional under pressure Knowledge of confidentiality and data protection policies Other Requirements Reliable, punctual, and flexible in working hours Willingness to undertake further training Additional Information: The post holder may be required to work flexible hours, including occasional evenings, to meet the needs of the practice. The role may involve cross-site working if required.
