Summary

As the Post room clerk, you will be an integral member of the wider team dealing with multiple agencies. Required to communicate effectively with diverse groups of people and be flexible in your approach to your responsibilities. You will be a valued member of the team and work in close liaison with the Station Staff Officer supporting their role accounting for finances within the post room and site orders.

This role is rewarding and challenging, requiring great interpersonal skills to deal with the diverse range of functions that fall within the remit of the role and enquiries. The main responsibility is for the post room and all the functions performed within that area. Provide front of house support to customers of the Barracks and provide assistance in replies to queries and enquiries. Ensure that local direction/instructions within Fulwood Barracks are both correct and in accordance with the policy covering the site use and workings. Assist the SSO with administrative tasks, including support to the SSO Department.

Key responsibilities:

Responsible to the Station Staff Officer (SSO) for all Post room and Preston Station support Unit (PSSU) administrative support.
To be the first point of contact for the SSO.
Provide service in the post room in line with policy, advising users on process/action and ensuring the security of all post under the post room control.
Processing and batching as necessary to obtain the most cost-effective postal method for all outgoing official mail for collection by Royal Mail and courier providers.
You will be responsible for the completion of Royal Mail Online Business Account.
Ensuring all parcels, High-value items and signed-for items are held securely until collection and signatures received from addressee. Provide postal advice to branches ensuring cost-effective postal methods for outgoing mail.
Coaching and mentoring Lodger and other sub or associated site user units, is an important aspect of this role, to ensure they all stay up to date with new processes implemented by Royal Mail and Parcelforce. You will also coach and mentor post room cover staff to enable them to provide support in periods of absence.
Your duties will involve raising bills for lodger units who use the postal service via the Post Room and hold an ePC (electronic procurement card), recording and reconciling transactions, payments for Parcel force and Royal mail stamps.
Assist the SSO with administrative tasks, including processing of Part One orders, site standing orders, Health and safety governance and assisting in providing a safe place to work for lodger units.
Any other tasks commensurate to the grade as required.

If not already held, you will be expected to complete the online Defence Unit Post/Supervisor Operator (DUPSO) course via the Defence Learning Environment (DLE) which is mandatory for this role. This is to be completed within the first 6 months of taking up the position.

There are opportunities for on-the-job training and familiarisation of the site, the many building users, lodgers, and the dedicated functional areas on site.
