Summary
JOB RESPONSIBILITIES: - Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice. - Deal with all general enquiries, explain procedures and make new and follow-up appointments. - Use your own judgment and communication skills. - Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed. - Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. - Enter requests for home visits into the clinical system, ensuring to carefully record all relevant details and referring to the rota doctor where necessary. - Enter patient information on to the computer as required. - Open and distribute incoming mail. - Photocopy and shred documentation. - Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients. - When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated. - Keep the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter. - Supervise and support the reception team on a daily basis, providing guidance and ensuring work is carried out efficiently and to a high standard. - Assist with the induction of new reception staff. - Manage and produce the monthly reception rota, ensuring adequate staffing levels are maintained. - Support reception team members in managing busy periods and resolving patient queries effectively. - Oversee reception workload on a day-to-day basis. - Process new patient registrations and action patient deductions. - Any other delegated duties considered appropriate to the post.
