Summary
The post holder will work as part of the Clinical Genetics Administration Team with a role focused on ensuring that Genetic patient pathways are effectively managed. You will be responsible for the booking and management of patient appointments in clinics at various hospital locations. You will also be responsible for monitoring and replying to queries via email and the telephone, liaising with internal and external colleagues. You will the ability to work in a busy atmosphere, have a professional demeanour and a friendly disposition.
We are looking for an enthusiastic, conscientious and efficient person to integrate with the current team and provide proficient and effective administrative service. The post holder will be responsible for booking appointments and clinics, monitoring and responding to incoming emails and telephone queries, scanning documents into the Genetics database Geneworks and updating information on this when necessary.
The successful candidate should have an excellent standard of written English, a professional telephone manner and have the ability to manage their workload with minimum supervision. Attention to detail is a must as are good IT skills and time management.
They will join a friendly and hardworking team playing an instrumental part in the smooth running of the department; therefore a positive attitude and flexibility is essential.

The South West Thames Centre for Genomic Medicine is based at St George’s University Hospital in Tooting and provides an integrated clinical and genetic laboratory service to a population of more than 3.5 million across South West London, Surrey and West Sussex. St. George’s is a partner organisation in the South East Genomic Medicine Service Alliance and the South East Genomic Laboratory Hub (GLH).
• To monitor urgent referrals of patients and book appointments as necessary, co-ordinating patients’ requests, clinical priority (as instructed by clinicians) and staff clinic calendars.
• To liaise with patients/families to arrange appointments as directed by the clinical team.
• To ensure all requested appointments are booked within agreed time frames, whilst tracking and notifying appropriate clinicians where patient has not attended.
• To have a sound understanding of 18 week waiting times, targets and to work proactively to ensure that all targets are maintained. The post holder must ensure that all potential breaches of waiting times targets are escalated to departmental managers in a timely manner.
• Work with admin staff in other departments or hospitals to ensure clinic lists are correct and up to date, relaying any changes to clinic location etc. to affected clinicians and colleagues.
• Respond to patient telephone queries of an administrative nature and discuss with clinical team when appropriate.
