Summary
In this role, youll be at the heart of supporting our Council of Governors, helping to ensure everything runs smoothly and efficiently. Your work will be varied, people-focused, and central to the success of the team. Key areas of your role will include: Being the first point of contact responding to both internal and external telephone queries about the Council, and making sure theyre directed to the right person quickly and effectively. Supporting governors handling queries in person or by phone with professionalism and care, always following Trust and local procedures. Clear and effective communication engaging with staff, visitors, and service users through a range of methods (verbal, written, and electronic) and tailoring information to suit the individual. Keeping things organised managing the Councils electronic diary, scheduling meetings, coordinating commitments, and ensuring everyone stays informed. Event coordination arranging governor attendance at external events, working closely with the Communications Team, and providing hands-on support (including transporting materials when needed). Chasing progress following up on actions with managers to keep things on track and ensure deadlines are met. Accurate record keeping maintaining up-to-date details on governors, including service length, documentation, and website content. Workshop and meeting support organising venues, ordering refreshments, and taking notes to make sure workshops and events run smoothly. Administrative and secretarial support assisting the Company Secretary and wider team, including coordinating communications like Trust Matters. Database management maintaining accurate electronic records and systems as required. Governor elections providing support with the annual election process. Annual Members Meeting helping to organise and facilitate one of the Trusts most important events. Governor training maintaining the training register, flagging upcoming requirements, and reporting attendance to the Company Secretary. Promoting good practice supporting the wider administration function of the department to ensure efficient and effective ways of working.
