Summary
This post provides an opportunity to develop in a busy and operations-focused team. As the Engagement Administrative Officer, you will routinely interact with a range of stakeholders including staff from within other teams in the Headquarters and our Chain of Command Headquarters along with external employers, schools and colleges. You will join a mixed military and civilian team.
Key responsibilities:
Prioritise own tasks to efficiently support Teams outputs.
Support problem solving via the application of policy direction or detailed instructions.
Efficiently provide relevant information to support senior staff decision making.
Use appropriate methods of communication such as email, MS Teams, telephone or face-to-face, taking into consideration the needs of the audience.
Army Travel Tool Authoriser. Coordination of travel arrangements for the engagement team including hotels and transport, including fleet management of the engagement team East vehicles.
Responsible for ordering office supplies, including business cards and accounting for promotional items.
Has responsibility for a range of items relating to office management duties.
Arranging the catering for team events.
Organise complicated data content into logical, meaningful information from system databases.
Prepare weekly and monthly reports from UCE (Understanding Civil Engagement) data.
Creates proofs and posts for advertising team events.
Manage invoices and payments through electronic payment card (EPC) and other forms of payment.
Assist in the documentation associated with purchasing project related items.
Be responsible for all incoming post and distribution to the Engagement team staff.
Attend meetings and record the minutes and record of decisions.
