Your Main Duties
-Provide full administrative support to site, including written, verbal and electronic correspondence.
-Support engineers and managers with service reports, expenses, requisitions, quotations, and procurement.
-Liaise with finance and operational teams to ensure accurate and timely invoicing.
-Manage engineer timesheets, subcontractor diaries, and meeting administration.
-Coordinate deliveries, equipment, and replacement parts.
-Maintain strong working relationships with clients, subcontractors, suppliers, and colleagues.
-Contribute to continuous improvement of company processes and customer service.

The RoleWe are looking for an organised and proactive Contract Support Administrator to join our site-based team. This pivotal role will provide administration and contract support to the resident maintenance team, ensuring exceptional service delivery, compliance, reporting, and day-to-day operational support.
Key Responsibilities
-Provide full administrative support to the site, including written, verbal and electronic correspondence.
-Support engineers and managers with service reports, expenses, requisitions, quotations, and procurement.
-Liaise with finance and operational teams to ensure accurate and timely invoicing.
-Manage engineer timesheets, subcontractor diaries, and meeting administration.
-Coordinate deliveries, equipment, and replacement parts.
-Maintain strong working relationships with clients, subcontractors, suppliers, and colleagues.
-Contribute to continuous improvement of company processes and customer service.
What We're Looking For
-GCSEs (or equivalent) in Maths and English - A Levels or NVQs in administration an advantage.
-Experience in a similar role, ideally within facilities management administration.
-Strong IT skills, particularly in Microsoft Office (Excel, Word, PowerPoint).
-Experience with CAFM systems (Over-C, Elogs/Vantify advantageous).
-Familiarity with Microsoft Dynamics desirable.
-Excellent communication skills with the ability to build relationships at all levels.
-Ability to manage multiple priorities in a fast-paced environment.
-Customer-focused, adaptable, and proactive approach.
