Summary

Commercial is an agile and dynamic team with a positive and friendly culture. We prioritise kindness and respect, and we work closely together as a team to embrace change and drive continuous improvement.

Commercial is a key lever to delivering Government missions by securing good value for the taxpayer and driving economic growth.

The team oversees the procurement of goods and services, contract management and supplier engagement, as well as providing the department with a niche set of commercial services such as negotiating with foreign investors, mergers and acquisitions, policy development and income generation.

We act as gatekeepers for Cabinet Office spend controls and we oversee the use of Government Procurement Cards to ensure the department cuts wasteful spend and contributes to a productive and agile state.

We act as key holders for business cases, ensuring that DCMS and our arms length bodies spend money wisely when they invest in major projects and events. The contracts and agreements the team negotiates enable DCMS to support our world-leading culture, media and sport sectors, which not only bolsters UK soft power, but delivers real economic impact.

We’re seeking an exceptional Executive Assistant to join our agile team. You’ll be based in our London HQ in the bustling heart of Westminster.

You’ll be providing proactive day to day support to our commercial Senior Civil Servants (SCS) helping to maximise their effectiveness.

This is a dynamic and wide ranging role and you’ll be expected to be flexible to provide a consistent level of support to ensure our SCS are where they need to be, armed with the right information to make impact.

You’ll be the central liaison and communication hub for the SCS so this role will offer the opportunity for significant interaction with senior leaders and external stakeholders and you should be able to demonstrate experience of managing a varied workload, prioritising effectively and the ability to manage multiple tasks concurrently while maintaining a pleasant and professional manner.

Some of your responsibilities will include:

  • Managing SCS diaries, ensuring best use of their time. Ensuring diaries reflects their priorities, proactively resolving scheduling conflicts, rearranging often at short notice.
  • Managing SCS inboxes, and coordinating and prioritising work autonomously. Setting up and managing knowledge information systems in line with DCMS policies.
  • Providing administrative, logistical, and business support, including organising agendas for meetings, arranging travel, accommodation and managing expenses and finance functions such as invoicing.
  • Providing a professional service to all internal and external stakeholders through all forms of communication.
  • Facilitating access for visitors, including arranging security passes and accompanying visitors.
