Summary

Administrative Officers carry out a variety of general administrative duties to progress cases through the court or provide support to other functions within the Scottish Courts and Tribunals Service.

The advertised roles provide an excellent opportunity for the successful applicants to be involved in a vibrant and busy working environment with the prospect of developing their own learning through frequent contact with our judicial partners.

The contracts on offer are as follows:

1x Full Time, Fixed Term for 9 months with the possibility of extension or conversion to permanency thereafter.

2x Full Time, Fixed Term for 6 months with the possibility of extension or conversion to permanency thereafter.

The Key Responsibilities Include:

Provision of clerking support to the work of the Scottish Courts and Tribunals Service teams within Glasgow and surrounding areas, ensuring the effective operation of the jurisdiction in which you are placed.

Preparing for and facilitating hearings remotely by teleconference or video conference – opening up phone lines/ WebEx Webinars and liaising with members prior to parties joining the call.

Preparing for and Facilitating in-person hearings – opening up tribunal rooms on arrival and liaising with venue organisers and dealing with any facilities issues and being the point of contact for any venue assistants, raising any issues with team-Leaders if required. The Scottish Courts and Tribunals Service cover the whole of Scotland and travel throughout Scotland to hearings will be required on occasions. If required, overnight accommodation can be provided in line with the SCTS Travel and Subsistence Policy.

Ensure iTrent is completed in a timely manner to reflect all expense claims (mileage, meals and personal allowance) in line with the Travel and Subsistence policy.

Carrying out the relevant Health and Safety checks in the venues where you are facilitating in-person hearings - completing a Dynamic Risk Assessment and raising any matters in regards to health and safety with management and reporting this on the online reporting tool where necessary.

Maintain confidentiality and treat all information you are responsible for with care, ensure any data breaches are reported to the Team Leader timeously. Be aware of the data breach guidance and clear desk policy.

Ensuring all hearing preparation work is carried out within the required timescales.

Ensuring that a copy of any further correspondence submitted by a party on the day of the hearing or the day before (late productions), is processed accordingly, in line with the relevant Chambers administrative processes.

Acting as a facilitator for “on the day” administrative aspects of the hearing process, helping make appellants, respondents, supporters and witnesses and representatives feel as ease, answering and responding to general queries regarding the hearing process.

Providing such advice as requested by the panel members with reference to casework procedures.

Seeking and confirming availability of members and parties, arranging hearings and venues by telephone bookings as and when required.

Ensuring that Tribunal documents for the PRS/SSC jurisdiction and any other jurisdiction, whereby the clerks are responsible for post hearing paperwork - are received back from the Tribunal members within the relevant timescales as stipulated on the case management system (except otherwise agreed) and issuing those documents for which the clerks are responsible, to all parties within the required timescales.

Ensuring all clerking tasks are completed within the required timescales which includes and is not limited to confirming members fees, updating Webroster, providing feedback when required, updating and completing tasks, recording attendance and hearing times on CMS, etc.

Organisation and facilitation of video conferencing testing for both members, parties and others for all relevant chambers and jurisdictions.

General administration as required including and not limited to, monitoring the clerking inbox, updating spreadsheets, printing documentation, issuing papers and other administrative tasks as required by the clerking as well as other teams: support for corporate functions such as event organisation and members training.

Take care of all SCTS equipment and resources updating Team-leaders with issues regarding your equipment in a timely manner.

Complete all mandatory E-Learning as required by the given dates.

Use Delta to seek & arrange development/upskill opportunities ie courses, workshops, attending training etc.

To ensure you adhere to the attendance management policy, flexible working policy and the hybrid working policy.

To ensure you adhere to the building Health & Safety Policy including fire-warden and evac-chair.
