The Workplace Experience Co-ordinator will act as the main point of contact between building users and Integrated Facilities Management (IFM). The role is focused on service delivery, customer experience, and client liaison across the VMO2 estate.
Job Description
The Workplace Experience Co-ordinator will be the “Go To” person on site, acting as the main link between building users and Integrated Facilities Management (IFM). Based in a corporate office environment, you will take ownership of day-to-day workplace services by managing the cleaning team, responding to stakeholder queries, and ensuring all FM issues are dealt with quickly and effectively.
This customer-facing role is central to ensuring employees and visitors receive a seamless workplace experience. You will act as the first point of contact, coordinating services, resolving issues, and proactively seeking ways to improve how people interact with the workplace.
This position provides the opportunity to directly shape the customer journey within the workplace, ensuring that environments are not only functional but engaging, welcoming, and supportive of productivity. You will also support mailroom operations (training provided if required), ensuring all facilities are well managed and maintained to the highest standards.
Acting as a bridge between clients, service providers, and building users, the Co-ordinator plays a key role in creating a workplace experience that reflects the values of both VMO2 and ISS.
Key Responsibilities
Monitor and capture feedback on the customer experience to identify improvement opportunities.
Support FM service delivery in your area, ensuring SLAs are met and taking ownership of the space.
Manage helpdesk calls through to resolution with relevant service teams.
Identify and report issues, suggesting improvements to optimise the workplace environment.
Build and maintain strong relationships with VMO2 contacts, acting as a trusted liaison.
Collaborate with ISS departments to deliver an integrated FM service and excellent customer experience.
Maintain meeting rooms and shared spaces to high standards, ensuring a professional, “ready-to-go” environment.
Professional and Personal Competencies/Qualifications
Experience in facilities management within a corporate environment.
Experience in soft services or managing a cleaning team.
Background in hospitality or other customer-facing environments, with a strong focus on service excellence.
Strong IT literacy with the ability to extract data from systems and prepare professional reports.
Demonstrated experience in building and maintaining effective working relationships.
Friendly and approachable with strong interpersonal skills.
Proactive and confident, with the ability to take initiative.
Strong team player, able to collaborate across multiple service lines.
