Summary
Medical Revalidation Develop and retain knowledge and expertise in relation to medical appraisal and revalidation in Wales and across the UK. Prepare and maintain appropriate correspondence relating to appraisal and revalidation. Appropriately communicate potentially sensitive and personal information to a range of individuals and organisations. Liaise with Governance Departments across the Health Board to obtain and collate governance information for Transfer of Information processes. Where no concerns are identified, respond to Transfer of Information requests on behalf of the Responsible Officer. Develop appropriate filing systems for Transfer of Information processes and resulting information transfers. Liaise with all HB doctors to give support to ensure timely appraisal occurs. Provide reports and information in relation to missed appraisals as appropriate. Develop expert skills on the MARS system to ensure appropriate guidance and support can be given to doctors as required. Effectively deal with all queries (email/telephone/in person) relating to appraisal and revalidation in a timely manner, escalating as appropriate. Provide administrative support to the Head of Medical Education & Revalidation and the Deputy Head of Medical Education & revalidation as required. Utilise the MARS system to ensure appropriate monitoring of appraisal activity across the Health Board, highlighting and escalating concerns appropriately and in a timely manner. Use the MARS system to produce reports on appraisal uptake to advise the HB on medical appraisal activity and to populate the annual progress report. Liaise with Consultants, Specialty Doctors, Clinical Fellows and MTi Fellows to ensure compliance with appraisal and revalidation. Liaise with potential tutors of all grades and professions across the HB to organise appropriate teaching sessions and training events as required. Organise HB-wide meetings, events and training programmes for appraisal related activities. This will include identifying dates and booking venues, maintaining attendance lists, preparing and issuing attendance certificates, organising speakers, ordering catering and assisting with the preparation of presentations and training materials. Medical Education Medical Education Develop and retain knowledge and expertise in relation to medical education in Wales and across the UK. Assist in ensuring that all services are customer-centred, and that quality assurance is developed and maintained. Support the Medical Education Manager in planning, developing and implementing teaching programmes and events for all junior medical staff based at the Grange University Hospital. Such work will require close liaison with other sites in the Health Board to ensure uniformity and effectiveness of such programmes. Assist in ensuring that medical education teaching programmes and events are well attended by ensuring that advertising strategies are robust and timely in their application. Provide appropriate administrative support for all medical education activities at the Grange University Hospital including facilitating educational events using the local educational facilities. Develop processes to capture feedback relating to medical education activity, produce reports and suggest action plans to improve quality. Work in close liaison with all local clinical disciplines to develop effective new ways of sharing local development opportunities within medical education. Take responsibility for organising specific teaching timetables as directed by the Medical Education Manager, liaising with speakers, organising venues, keeping registers and obtaining and acting on feedback. This work can often be complex in nature, requiring knowledge of training curricula. Working as part of the Medical education team, take responsibility for opening and closing the Education Centre, setting up rooms as required and ensuring the functionality and security of the building. Troubleshoot issues with AV equipment on behalf of all users as required, ensuring that activity is supported and maintained. In addition, the post holder will be expected to train other staff and users of the Centre in the use of the AV equipment as required. Support office practices to ensure that a robust system for postgraduate administration is maintained. Obtain sponsorship for educational events organised within the Centre including liaising with possible sponsors, ensuring that information on forthcoming events is circulated widely to relevant external sponsors in a timely fashion and keeping an up-to-date database on possible sponsors, including specialty interests etc. Prioritise own work efficiently and effectively, ensuring that all deadlines are met. Which requires the ability to work under pressure to meet deadlines and to prioritise conflicting workloads in the face of competing demands. Utilise room booking software to ensure the maximisation of the use of teaching space and equipment for all users of the Centre. Review and update processes linked to the safe and effective running of the Centres teaching facilities. Develop relationships with junior doctors in GUH to ensure ongoing pastoral support as part of the Medical Education team. This work will involve information that is personal or sensitive in nature and the post holder will be required to deal with this effectively, giving appropriate advice or escalating appropriately. Excellent communication skills are required, particularly in relation to communication with a range of people from different professions about complex issues where barriers to understanding may exist. Finance Identify and understand procurement processes and utilise them effectively. Utilise the Oracle system to procure items on behalf of the Education Centre at the Grange University Hospital.
