Summary
Applications are invited from enthusiastic, hardworking, self-motivated and committed individuals to join our Prosthetic & Wheelchair Centre team.
Key responsibilities include reception duties, booking appointments, preparing notes, inputting data, filing, placing orders, receipting goods and managing enquiries face to face and over the telephone.
The ability to work in a busy office environment is essential, therefore, the ideal candidates should be highly organised, flexible and be able to prioritise their own and their teams workload. Excellent interpersonal and communication skills are essential, the post holder will be expected to maintain strict confidentiality and be able to communicate effectively and sensitively with a wide range of people including clients, colleagues and external agencies.
Provide a clerical/reception service to the Prosthetic & Wheelchair Centre ensuring an effective and welcoming service is provided to patients, their carer’s and other visitors.To maintain the Wheelchair/Limb Database and to assist, as part of a team in the administrative arrangements for those clients requiring wheelchairs/ wheelchair repairs, artificial limbs and to be responsible for monitoring and placing all wheelchair/prosthetic orders.

· Prepare clinics, ensuring that all documentation is available at the beginning of a clinic, print clinic lists and distribute appropriately. Book appointments for patients including transport when required.
· Process Wheelchair/Limb referrals; create case-notes, register patients appropriately on the hospital and local databases as appropriate, ensure that all information held is accurate.
· Process referrals, enquiries, complaints, equipment recalls and forward information to the appropriate staff for action.
· Be responsible for placing and monitoring all Wheelchair/Limb orders using local databases and liaise with the contracted wheelchair/prosthetic company as appropriate.
· Process all invoices relating to the Wheelchair/Limb service as appropriate, advise the Centre Manager of the need to raise invoices for “cross charging”.
· Liaise with the Wheelchair Repair Service Provider/Limb contractor on behalf of the user regarding repairs, deliveries, collections and queries etc.
· Maintain the new and reconditioned stock ledgers. Visit the Wheelchair Repair Service Provider on a monthly basis to undertake a paper stock check. At least on a yearly basis carry out a physical stock check in conjunction with the Rehabilitation Engineers.
· Maintain the limb store, ensuring all issues are recorded. When necessary obtain condemnation of the limb from the designated person and arrange for disposal.
· Ensure all patients who have attended clinic have a follow up appointment as directed by the Consultant / AHP/Prosthetist , action failed to attend, limb collection notes, delivery invoices and deceased lists.
· Provide timely and accurate statistics as requested by the Centre Manager/Information Manager.
· Undertake reception duties as and when required.
