Job Description

We have an exciting opportunity for a Legal Administrator role in a UK-based legal services firm. The firm delivers exceptional, client-focused legal solutions with integrity and professionalism across Commercial, Family, Immigration, Technology, and Data Protection law. They are seeking a meticulous and highly organised Legal Administrator to join our dynamic legal team. This pivotal role provides essential administrative and case management support, enabling solicitors and fee earners to concentrate on delivering high-quality legal services. The successful candidate will play a crucial role in managing documentation, maintaining internal systems, and ensuring seamless communication among clients, colleagues, and external stakeholders.

Job Requirements:

Demonstrated experience in an administrative or legal support role, preferably within a law firm or professional services setting.
Exceptional organisational skills with the ability to juggle multiple tasks and meet tight deadlines.
Strong written communication skills, particularly in minute-taking, drafting documents, and professional correspondence.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with case management software.
High attention to detail and accuracy across all responsibilities.
Excellent interpersonal skills with the ability to communicate effectively with clients, team members, and external contacts.
Fluency in Mandarin and/or Cantonese is essential.

Job Responsibilities:

Attend internal and client-facing meetings, accurately record minutes, distribute them promptly, and track agreed actions and deadlines.
Maintain and update case management systems, ensuring all correspondence, key dates, and milestones are logged correctly; generate progress and deadline reports.
Coordinate calendars for solicitors and fee earners, schedule appointments and hearings, and monitor critical timelines to ensure efficient case progression.
Handle general office administration including scanning, photocopying, and formatting documents; assist with billing by preparing fee notes.
Draft routine client care letters and manage incoming enquiries while upholding a professional and courteous communication standard.
