Summary

Overview of the job

This is an administrative role within the PERS (Pathways Enhanced Resettlement Service), known as SOLAR, based at HMP North Sea Camp. The SOLAR service forms part of the wider Offender Personality Disorder (OPD) pathway which is co-commissioned by NHS England and HMPPS and delivered jointly by HMP North Sea Camp and Nottinghamshire Healthcare NHS Trust. The Government’s policy is for HMPPS and the NHS to improve the management of people who have offended and delivery of services to this population through the development of joint operations, predominantly within the criminal justice system (CJS). The aim of the SOLAR service is to support prisoners who are likely to have difficulty managing the transition into and out of open prison as a result of problematic personality traits, working in a psychologically informed way. This role supports the team in the delivery of this work.

Summary

The successful candidate will provide administrative support within HMPPS, working collaboratively with HMPPS and NHS staff, ensuring that staff and service users are supported through efficient processes, maintaining administration systems within specified timescales in order to promote the achievement of team and local objectives.
The successful candidate will have a good working knowledge of Microsoft Office (Excel, Word, Outlook) as well as the ability to learn internal data systems. Other skills will include taking minutes, organising meetings on behalf of other professionals, accurate record keeping and the submission of key data reports.
There will be exposure to difficult, confidential information due to the forensic and clinical nature of the service.

Responsibilities, Activities & Duties

The successful candidate will be required to carry out the following responsibilities, activities and duties:
• Work dynamically and collaboratively as part of a multi-disciplinary team.
• Be responsible for setting up and maintaining accurate information on relevant approved databases
• Ensure the effective administration of referrals into the service (including the screening process) and maintain relationships between offender management, service providers and external agencies and partnerships to enhance positive outcomes and reduce reoffending.
• Prepare, maintain and collate case and other records, files and management information, in accordance with the standards required.
• Receive and distribute information and communications in an appropriate manner, e.g. telephone, paper, e-mail.
• The provision of and updating service user notes, collation of information or transfer of information to other agencies.
• Deal fairly, effectively and firmly in a psychologically informed way with a range of staff and prisoners, some of whom may be in crisis, distress or who may display inappropriate or aggressive behaviour, and to seek appropriate support in accordance with the circumstances and office procedures.
• Make practical arrangements such as appointments for the implementation of the keywork in line with diary management.
• Organise the availability of appropriate equipment, materials, and facilities for activities relating to the management of cases.
• Maintain appropriate systems to ensure the effective use of resources and make recommendations for improvement as necessary.
• Undertake specific administration tasks in accordance with the procedures.
• Attend and provide support to meetings as required including organising agenda, taking and distributing notes/minutes and action points.
• Ensure all activities are conducted in accordance with Health and Safety policies and procedures.
• Demonstrate pro-social modelling skills by consistently reinforcing pro-social behaviour and attitudes, challenge anti-social behaviour and attitudes.
• To work within the aims and values of HMPPS.
• To have access to NHS clinical systems for the sharing and recording of clinical information and to therefore work in line with strict NHS policy relating to confidentiality.
• Engage with regular clinical supervision and reflective practice.
• Undertake local HMPPS mandatory training and PERS related training as required.
