We have a rare opportunity for a Workplace Coordinator to join a leading ISS contract on a part-time basis, working Thursdays and Fridays, 8am–4:30pm. Cover for holiday shifts is also available, with additional pay.

Job Description

Based on one floor of a shared tenancy building with 98 desks, this is a varied and hands-on role supporting our esteemed banking client.

As Workplace Coordinator, you’ll wear several hats, including facilities management, meeting room and hospitality booking, and stakeholder management.

The role requires strong organisational skills and confidence using multiple systems such as MS Office, Condeco, and Saffron.

Key Responsibilities

Act as the main point of contact for all FM-related matters, liaising with the CRES helpdesk, security, landlords, and other stakeholders
Manage and monitor work orders, meeting room usage, hospitality, cleaning standards, and workplace inspections to ensure services are delivered to agreed standards
Provide reception and administrative support, including mail handling, courier bookings, publications, travel arrangements, expenses, and reporting
Oversee health and safety compliance, ensuring site folders are maintained, audits supported, incidents reported, and training for fire marshals and first aiders is up to date
Induct and support contractors, colleagues, and subcontractors to ensure consistent service delivery and compliance with site standards
Manage financial processes, including raising purchase orders, budget management, and supplier engagement
Proactively seek opportunities for efficiencies, service improvements, and positive client engagement

Professional and Personal Competencies/Qualifications

Previous experience in a hospitality or customer service role, ideally within a corporate environment
Familiarity with facilities management processes and systems, preferably Condeco or similar
Strong organisational skills with the ability to manage multiple tasks efficiently
Excellent communication and interpersonal skills, able to engage with stakeholders at all levels
Customer-focused, professional, and able to deliver a high standard of service
Flexible, proactive, and adaptable to changing needs and priorities
Confident in using IT systems and Microsoft Office applications
