Summary

About the Role:

Are you passionate about delivering outstanding customer service and supporting community events? Bourne Hall is looking for a proactive and friendly Events Assistant to help ensure our venue runs smoothly and remains a welcoming space for all visitors, stakeholders, and hirers.

This is a hands-on role where no two days are the same. You’ll be setting up for events, assisting with AV and bar services, maintaining the building’s presentation, and supporting both our Coffee Shop and reception when needed. You’ll also work closely with key stakeholders such as the Museum and Library to ensure their needs are met and the venue operates harmoniously.

Key Responsibilities:

Customer Service: Welcome and assist visitors, providing helpful information and ensuring a positive experience throughout their visit.

Event Setup: Arrange furniture, equipment, and refreshments for meetings, exercise classes, Ad Hoc Special occasions, and community events.

AV Support: Help hirers with audio-visual equipment, including setup and troubleshooting. Report any technical issues.

Cleanliness & Maintenance: Keep the venue clean, tidy, and presentable. Report any maintenance or cleaning issues promptly.

Safety & Security: Carry out health and safety checks, act as a Fire Marshal, and provide first aid when needed.

Venue Security: Open and close the building securely, ensuring all areas are safe and locked appropriately.

Coffee Shop & Bar Work: Step in to support the Coffee Shop operations during busy periods or staff absences. In addition to working the bars at events and supporting catering delivery.

Stakeholder Support: Work collaboratively with internal stakeholders such as the Museum and Library to ensure smooth operations.

Bookings & Admin: Use the Artifax system to check bookings and communicate changes to the Event’s Coordinator.

Reception Cover: Answer phones and assist at reception when required.

IT Systems: Use Microsoft Office and internal systems like Itrent for daily tasks and communication.

Daily Checks: Complete handover and building check sheets to ensure consistency and accountability.

What We're Looking For:

A team player with a positive attitude and excellent communication and customer service skills.

Someone who enjoys working in a busy, public-facing environment and can build strong relationships with stakeholders.

Basic IT skills and a willingness to learn new systems.

Flexibility to work predominantly evenings and weekends. You must have the ability to get home in the evenings after public transport has stopped.

Experience in events, hospitality, bar work, or facilities is a bonus – but not essential.
