Summary

Main Purpose of Job
The key purpose of the role is to manage UK IT’s holistic, commercial relationships with its IT suppliers. This will include management of the strategic relationships with global vendors, as part of the Group IT Global Vendor Management Office (VMO), and effective day to day management of all UK-specific maintenance and support (M&S) contracts with IT service providers.
Specific responsibilities will be:
• To establish and maintain a consolidated view of UK IT expenditure with each supplier (encompassing maintenance and support contracts, development contracts, any IT expenditure made directly by the Businesses and other expenditure as relevant) to ensure that the full scope of ScottishPower’s relationship with the supplier is understood.
• To act as the Global VMO representative for UK IT, in particular, to consolidate UK supplier expenditure information with that from other IT VMO teams, to produce a global view of the supplier relationship.
• To develop strategies for supplier negotiation, which leverage the relationship information collated with the Global VMO, to deliver added value from the supplier relationship via improved/preferential terms.
• To manage all IT contract placement, extension and/or renewal from establishing the renewal timetable, through agreement of any required scope or price changes in conjunction with the relevant IT and Business teams, to obtaining approval for the renewal from the relevant governance body.
• To ensure that the ongoing M&S impact of all IT contracts, global and local, is fully understood and considered in IT UK budgets.
• Monitoring supplier service delivery against the performance targets and goals set out in each contract and/or by the Global VMO.
• Ensuring timely verification, processing and payment of supplier invoices in line with Iberdrola Group standards
• Act as the primary point of contact between UK IT and Purchasing, ensuring adherence to the Group procurement standards and model at all times.
Accountabilities
• Define and agree strategies for negotiation with each IT supplier, leveraging global supplier relationships where appropriate, to extract maximum value.
• Manage the review, negotiation, renewal and/or termination of all UK IT third-party maintenance and support contracts (including representing UK IT in direct negotiations with IT suppliers as necessary), ensuring adherence to Iberdrola purchasing and ethical standards and policies at all times.
• Define, agree and deliver year on year savings in IT third-party contract costs.
• Work with Global VMO counterparts across Group IT to define the structure and functionality of an IT VMO portal, which will enable the full scope of Iberdrola’s relationship with these suppliers to be understood and managed.
• Collate and maintain the necessary details relating to ScottishPower’s IT suppliers to enable population of this VMO portal. As a minimum, this will include details of all IT development expenditure, direct Business expenditure and maintenance and support contracts (M&S), both actual and projected in the medium term.
• Define and agree formal and informal mechanisms, which can be used to monitor supplier performance across the full range of services offered to ensure ScottishPower receives maximum value from each contract. These may range from specific performance metrics to satisfaction surveys conducted with key stakeholders.
• Recommend changes to supplier engagement models and/or contracts when improvement opportunities are identified.
• Evaluate new/modified service requirements arising from UK IT or the UK Businesses and agree the required M&S contract changes to support these.
• Understand the ongoing budgetary impact of all IT systems development and decommissioning, and ensure these are accurately reflected in UK IT or Global IT budgets as appropriate.
• Provide a forecast of UK IT supplier expenditure as required for business planning and budgeting purposes.
• Act as the primary contact for UK IT supplier information.
• Actively develop staff, ensuring that staff are motivated, have clear objectives and receive regular feedback on performance.
Skills, Knowledge & Experience
• Degree educated or holding equivalent industry qualification.
• Experience in IT contract management for high value, preferably global, contracts essential.
• Extensive knowledge of negotiation processes and strategies, with significant prior experience in a procurement and/or financial environment.
• Excellent interpersonal skills are essential, including strong influencing skills. This role is focused on relationship management with third party suppliers and internal IT staff.
• Team player, with previous experience of working as part of a global team, across multiple cultures, beneficial.
• Excellent analytical skills with a strong focus on detail.
• Capable of performing accurate analysis and drawing conclusions that extract maximum value from the supplier relationships.
• Capable of working under pressure, to tight timescales and challenging budget targets.
• Spanish speaking/writing skills would be advantageous
Complexity and Creativity
• Identifying all the points of IT supplier contact into ScottishPower and collating all relevant details of the supplier relationship.
• An ability to derive the key drivers and levers for the relationship with each global IT supplier, based on disparate information collated from multiple companies across the Iberdrola Group.
• Capable of identifying the optimal strategy for negotiation with each supplier based on the details of the specific global relationships in each case.
• An ability to identify both the UK and global business needs from suppliers and to ensure these are balanced in the final strategies agreed.
• Managing conflicting views across the Group both during the determination of the optimal strategy for supplier negotiation and during specific negotiations (e.g. to determine the optimal balance of service level vs. cost).
• Understanding and recommending the necessary M&S contract changes required to meet changing business requirements.
• Managing a high number of contract renewals, often simultaneously, in a fast moving environment.
• Understanding, in detail, the terms and conditions embedded in each IT M&S licence agreement and being able to translate these into clear decisions regarding the ability to deploy products whilst maintaining compliance.
• Interpreting the results of supplier monitoring to identify potential issues with the supplier relationship and define strategies for resolution.
Judgement and Decisions
• Define key supplier information and maintain this in an environment of continual change
• Define and agree the optimal strategy for each supplier negotiation (global and local as appropriate).
• Identify opportunities for IT M&S contract cost reduction that can be delivered without an unacceptable impact on IT service delivery.
• Recommend optimal IT M&S contract renewal/signature terms for approval by the UK IT Director and/or Global Head of VMO as appropriate.
• Implement an appropriate framework for supplier tracking and status reporting (budget, scope, needs, target, etc.)
• Identify sub-optimal supplier performance and mechanisms for resolution
• Balance the needs of the UK with the needs of the Group when negotiating with global IT suppliers.
• Maintain probity and integrity in supplier management at all times, in line with the Iberdrola ethics policy.
• Accurately forecast external maintenance and support expenditure for defined suppliers and contracts.
• Determine appropriate governance frameworks for M&S contract tracking and reporting, which meet UK IT’s management team and Global VMO requirements.
