An exciting opportunity has arisen to work as a Secretariat and Administrative Assistant within the North West Ambulance Service, Patient Transport Service (PTS) Service Line.
The post holder will be responsible for providing high-quality secretariat, diary management, and administrative support to the Head of Operations – PTS, Deputy Head of PTS – Clinical, Quality and Governance, Deputy Head of PTS – Operations, and PTS Sector Management Teams. This includes managing complex and often conflicting schedules, arranging and coordinating meetings, preparing and circulating agendas and papers, accurately recording minutes, and ensuring all actions are tracked through to completion. The role will also involve overseeing the collation and distribution of meeting packs, maintaining accurate electronic records, and ensuring documentation is managed in line with Trust policies, data protection legislation, and governance requirements.
The role requires excellent organisational skills, discretion, and the ability to work effectively in a fast-paced environment. The post holder will liaise with internal and external stakeholders, coordinate communications to staff, external providers, and volunteers, maintain compliance-related records such as driving licence checks, and support business continuity planning. Additional responsibilities include administering policy review schedules, managing complaints and compliments, raising purchase requisitions, booking venues and travel, and updating internal, external communication platforms.

North West Ambulance Service NHS Trust provides 24 hour, 365 days a year accident and emergency services to those in need of emergency medical treatment and transport.
Our highly skilled staff provide life-saving care to patients in the community and take people to hospital or a place of care if needed.
We also provide non-emergency patient transport services for those patients who require non-emergency transport to and from hospital and who are unable to travel unaided because of their medical condition or clinical need.
Alongside the other emergency services, we also work to ensure the safety of the public and treatment of patients in the event of a major incident.
We also deliver the NHS 111 service in the North West. NHS 111 replaced NHS Direct in 2013. This service was introduced to make it easier for people to access local NHS healthcare services in England. It provides non-emergency medical help fast, and is available 24 hours a day, 365 days a year.
The post holder will provide comprehensive secretariat and administrative support to the Head of Operations - PTS, Deputy Head of PTS – Clinical, Quality and Governance, Deputy Head of PTS - Operations, and the wider PTS Management Team. This includes full diary management for senior leaders, coordinating complex schedules, resolving meeting conflicts, and ensuring the most effective use of time in line with operational priorities. They will also manage meeting arrangements from start to finish issuing notices, preparing agendas, collating reports, producing and distributing meeting packs, attending meetings, accurately recording minutes, and tracking agreed actions through to completion.
A key aspect of the role is to act as the central administrative point of contact for the PTS Management Team, handling all enquiries, correspondence, and communications. This will include liaising with internal and external stakeholders, responding to telephone and email queries, supporting the production of formal reports and correspondence, and maintaining accurate records in line with data protection and governance requirements. The post holder will ensure policy documents are reviewed and updated on schedule, support the maintenance of the PTS business continuity plan, and oversee specific compliance tasks such as driving licence checks for the senior team.
The post holder will also be responsible for a range of operational and governance-related administrative functions, including managing complaint responses for high-level complaints, logging compliments, raising purchase requisitions, booking venues and travel, and administering updates to the PTS intranet and internet pages. They will coordinate communications to external providers and volunteers, support sickness and annual leave record management for the senior team and assist in the preparation of documentation required for disciplinary hearings, grievances, and appeals.
In delivering these duties, the post holder will be required to work effectively in a busy, environment, producing work to a consistently high standard, often to tight deadlines. They must demonstrate tact, discretion, and professionalism when handling sensitive matters, contribute to the smooth running of the service, and promote a positive image of the Trust at all times. Meetings will primarily be conducted via MS Teams, however there will be occasions where attendance at face-to-face meetings across the region is required.
