Job Title: Workplace Coordinator
Edinburgh, Causewayside
- Permanent - 25 hoursper week (Monday to Thursday)

Job Summary:
We are seeking a proactive and professional Workplace Coordinator to support the smooth operation of our working environment and ensure a five-star experience for all clients, customers, and staff. Acting as the first point of contact within the building, you will play a key role in managing access control, coordinating building maintenance, and supporting the delivery of essential office services. The ideal candidate is highly organized, service-focused, and capable of maintaining high workplace standards.
Key Responsibilities:
- First Line of Support:Serve as the main point of contact for all customers and clients within the building, addressing queries and providing prompt assistance.
- Building Access & Security:Issue and manage building fobs and follow access protocols, including de-alarming the building upon entry and alarming it when leaving last.
- Planned Preventative Maintenance (PPM):Maintain the PPM schedule and tracker. Ensure contractors have completed the necessary paperwork, permits, and safety checks before starting work.
- Office & Consumables Management:Oversee ordering and restocking of consumables and stationery. Manage deliveries and ensure goods are distributed appropriately across the site.
- Operational Support:Assist in the daily running of the workplace to support core business functions and ensure continuity of essential services.
- Customer Service:Deliver excellent customer service at all times, upholding professional standards and ensuring that all interactions leave a positive impression.
- Presentation & Safety Standards:Maintain high presentation standards across all areas of the office and promote a safe and clean working environment.
Person Specification:
Experience:
- Experience in a customer-facing or administrative role
- Working knowledge of office operations and customer service principles
- Experience writing and reviewing Risk Assessments and following health and safety procedures
- Experience in managing office supplies, deliveries, and contractor interactions
- Experience with security systems and permit-to-work processes
- Background in a professional or corporate environment
Skills & Abilities:
- Strong organisational and time-management skills
- Excellent verbal and written communication
- Ability to prioritise tasks and handle multiple responsibilities
- High attention to detail and accuracy
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to work independently and as part of a team
