Summary

A fantastic opportunity has arisen to join a well-established Property company based in Newport as an Lettings Administrator on a full-time or part-time basis (There is flexibility on hours). This role would suit an organised individual with prior experience in Lettings or Estate Agency, alongside successful completion of the Rent Smart Wales examinations. A full, clean UK driving licence is also essential.

Key Responsibilities:

  • Carry out a wide range of administrative tasks including filing, typing, scanning, photocopying, and binding.

  • Draft and send letters, reports, and emails on behalf of the office team.

  • Audio type property inventories.

  • Cover reception: handle incoming calls, greet visitors, and deal with public enquiries.

  • Maintain both electronic and paper filing systems.

  • Provide information and support to colleagues, clients, and external stakeholders.

  • Handle confidential information with discretion and professionalism.

  • Coordinate and improve office systems and procedures to enhance efficiency.

  • Manage staff diaries and appointments.

  • Sort, distribute, and process incoming and outgoing post.

  • Arrange and carry out property viewings, negotiating with potential tenants and buyers.

Key Requirements:

  • Successful completion of Rent Smart Wales examinations (essential).

  • Previous experience within lettings, estate agency, or property administration.

  • Proven ability to manage multiple priorities in a busy office environment.

  • Strong organisational skills with meticulous attention to detail.

  • Excellent written and spoken communication skills, with a good standard of grammar and spelling.

  • Confident in client-facing situations and happy to take initiative.

  • Proficient user of Microsoft Word and Excel.

  • Accurate typing and keyboard skills, with experience in diary and administrative process management.

  • Professional telephone manner and ability to build rapport.

  • Full, clean UK driving licence (essential).

Hours & Benefits:

  • Monday-Friday, 9:00am - 5:30pm (occasional Saturday work may be required).

  • Salary: Negotiable, dependent on experience.

  • Additional earning potential with uncapped commission structure.
