Requirements of the Payroll Administrator Role:
Qualifications: Good basic education essential.
Proven experience of IT skills and knowledge desirable including the use of spreadsheets.
Evidence of a high level of numerical skills essential. As is evidence of good interpersonal and communication skills.
Experience collecting & collating staff hours & shifts.
Job Purpose: To assist the Managing Director and Director of Care and Operations in ensuring the smooth running of all payroll matters pertaining to the business; to enable the business to remain financially viable and payroll operating efficiently. The payroll administrator will be the key person between Charing Healthcare and the external payroll provider.
Accountable To: The Managing Director & Director of Care and Operations.
Reporting To: The Managing Director & Director of Care and Operations.
Line Management Responsibilities: There are no line management responsibilities related to this post.
Key Tasks: To promote at all times the good reputation of Charing
Healthcare.
To collate and organise hours worked by staff through the
companies “clocking in & out” software.
Maintain and update all changes to staff pay rates & contracts.
To maintain up-to-date spreadsheets including new starters, leavers, rates of pay, deductions, SSP & SMP.
To provide & present weekly staff hours for Company Directors to review in-line with budgets.
To prepare hours and submit spreadsheets to external payroll provider for pay run.
To review payroll reports from the payroll provider for accuracy and resolve any discrepancies.
To respond to all employee payroll queries .
To manage & organise the monthly pay run in-line with the company’s payroll provider from start to finish.
To attend training courses made available in ensuring own personal
development in raising skills and knowledge for the benefit of the
smooth running of the business.
To ensure that any information of a confidential natured gained
in the course of work is not divulged to third parties.
To ensure you follow the company’s policies and procedures
regarding data protection and ensure all information is stored
correctly including computers.
To always keep the Director of Care and Operations aware of any
information that she should be aware of.
Other duties To ensure that any issues that comes to your attention that may
relate to a safeguarding matter of a resident, is reported at the
earliest opportunity to the applicable Home Manager
To undertake such other duties as may be reasonably requested
by The Director of Care and Operations, in line with your
professional competences
