Summary

The Role

We're looking for a talented and driven Diary Secretary to play a pivotal role in the Speaker's Private Office, the beating heart of the House of Commons. This is no ordinary diary role: you'll be the 'front door' to one of the most high-profile offices in the country, ensuring the Speaker's schedule runs seamlessly while upholding the highest standards of professionalism.

You'll thrive in a fast-paced, high-profile environment, balancing meticulous organisation with first-class people skills. You'll work closely with a small, supportive team, but also have the autonomy to make sound decisions and manage competing priorities with confidence.

Some of the responsibilities for this role include:

  • Coordinating and managing Mr Speaker's complex and busy diary
  • Developing and maintaining effective relationships across Parliament, Whitehall, and beyond.
  • Managing the Speaker's Diary inbox
  • Responding to invitations and advising Mr Speaker on the logistical arrangements for attending meetings/events.
  • Support the wider work of the Speaker's private office function and business support for the Speaker's Office team.

To be successful in this role you will demonstrate:

  • Diary Management: Experience working within an administration team and supporting a senior leader with diary, inbox and paperwork management.
  • Communication Skills: Excellent written and verbal communication skills.
  • Stakeholder Management: Excellent stakeholder management and interpersonal skills.

Our Team

The Speaker's Office team plays a vital role at the heart of parliamentary life, undertaking a wide range of responsibilities. These include ensuring that business in the Chamber runs smoothly; responding to Members, colleagues, and the public on points of procedure; arranging official events and international conferences; and overseeing diplomatic and protocol arrangements for high-level meetings with senior stakeholders. The team also manages the heritage State Apartments - home to significant works of art and historical collections - as well as the Speaker's social media channels, and produces both internal and external communications.
