Summary
Business Support Based at our office in Fairwater, Cardiff.
Cardiff Starting Salary: £23,657 (37 hrs p/w)
We are an independent voluntary organisation providing a support service to disabled people. We are recruiting an individual as Business Support for our existing team in our Fairwater Office, Cardiff. The post comes with 30 days annual leave plus bank holidays.
This is an interesting and rewarding post with full training given in all areas. The individual will work alongside the Dewis Direct Payments Advisors by advertising and recruiting Personal Assistants for their clients, attending Job Fayres and working together with our clients to organise interviews.
The second area of this job involves supporting the Direct Payments Manager by collating and producing statistical data for reporting the charity’s activities during each period, for the Local Authority.
Successful applicants will have initiative, be highly motivated with excellent standards of written and verbal communication. Have good interpersonal skills, be computer literate and able to demonstrate numerical & computational skills, be quick learners in adapting to the work of the team. You need to be a good team player and be able to work positively with our partners in social services. You will also be able to manage your work load. The person appointed will be expected to undertake an enhanced DBS disclosure.

MAIN PURPOSE OF THE JOB
To provide administration for the recruitment of Personal Assistants (PAs) as part of Dewis C.I.L.’s Direct Payments support service, including maintaining its data base of personal assistants, updating the Personal Assistant Profile on the Dewis C.I.L. website.
To provide administrative support to the direct payments team and the manager.
Posting vacancies on DWP website, updating the Dewis C.I.L. website, WecareWales, and other Social Media platforms.
Liaising with Service Users and Advisors regarding potential Personal Assistants and interviews.
To attend Job Fayres, careers events etc. in all authorities and to actively promote PA recruitment.
To provide telephone support for all incoming calls.
Ensure accurate recording of all contacts and implemented actions on the client management system.
To provide general office administrative assistance as required in support of the work, aims and goals of Dewis CIL in developing independent living opportunities for disabled people.
Supporting Dewis C.I.L. with any projects, events and initiatives in furtherance of the aims of the Organisation.
TASKS, DUTIES & RESPONSIBILITIES:
-PERSONAL ASSISTANT RECRUITMENT
Posting PA vacancies on DWP website, in addition to updating the Dewis C.I.L. website with new jobs or removing closed jobs. Updating FaceBook page and other Social Media platforms.
Responding to enquiries from potential candidates about personal assistant vacancies that are advertised. Directing individuals to the online application form and posting out application forms where appropriate.
Updating the job grids with new application forms, maintaining and recording details of personal assistants on a Dewis C.I.L. database (Personal Assistant Profile) and ensuring that application forms are destroyed when appropriate in line with GDPR.
Liaising with Direct Payment Advisors regarding personal assistant vacancies.
Executing job trawls as per the Direct Payments Advisor’s request to support in the recruitment of a PA, where applicants have not been forthcoming.
Liaise with the Job Centre, Careers and other organisations to source and attend job fayres to raise the profile of working as a PA in the care sector.
Collating, recording and supplying recruitment statistics as required for reporting.
Liaising with DP Advisors regarding the arrangement of interviews involving the organisation of availability, setting times and dates, arranging venues and other related matters.
Document all interview information on the DP Advisor’s calendar providing all necessary contact information.
Ensure accurate recording of all contacts and implemented actions on the organisation’s client management system.
Ensuring that candidates who are unsuccessful receive communication via e mail or telephone.
Completing contracts of employment for all new personal assistants.
-REPORTING FOR CARDIFF COUNCIL
Ensuring that monitoring spreadsheets are fully up to date before the reporting period commences.
Liaising with advisors to ensure data for service level targets are current and correct.
Producing KPI report on a four weekly basis.
