Summary

Job Overview

The Credentialing Specialist is responsible for verifying, validating, and maintaining documentation and credentials for healthcare professionals including doctors, nurses, carers, and allied health staff. This role plays a critical part in ensuring full compliance with NHS frameworks, CQC regulations, Right to Work laws, and internal quality standards before candidate deployment.

You will work closely with the recruitment, compliance, and placement teams to ensure candidates meet all regulatory requirements before starting an assignment, safeguarding both clients and patients.

Responsibilities

Review and validate candidate documents such as Right to Work, DBS checks, professional registrations (e.g. NMC, GMC, HCPC), references, immunisation records, and training certificates.
Ensure compliance with NHS framework standards, CQC requirements, and GDPR obligations.
Maintain digital and physical records for audit-readiness and internal database accuracy.
Monitor expiration dates of key documents and proactively request renewals.
Liaise with recruiters, candidates, and clients to gather required credentialing documentation.
Verify employment history and references in line with sector-specific standards (e.g. 5-year referencing for healthcare workers).
Conduct pre-placement checks including candidate ID verification and qualification cross-checks.
Update and maintain the Applicant Tracking System (ATS) with real-time documentation status.
Support internal and external audits, responding to any requests related to file completeness or verification history.
Keep up to date with changes in regulatory or framework credentialing requirements.
Provide weekly reports to management on credentialing progress, outstanding items, and compliance risk areas.

Requirements

1–2+ years of experience in credentialing, compliance, HR administration, or recruitment operations (preferably in healthcare).
Strong understanding of healthcare credentialing requirements including Right to Work, DBS, NMC/GMC/HCPC registration, and CQC regulations.
High level of attention to detail and ability to manage sensitive data with discretion.
Familiarity with NHS frameworks and audit standards.
Proficiency in Microsoft Office and Applicant Tracking Systems (e.g., RDB, Bullhorn, Workable, etc.).
Excellent organisational and communication skills.
Ability to manage multiple files and deadlines simultaneously.
Strong team collaboration skills and a solution-oriented mindset.
Qualification in HR, Business Administration, Compliance, or related field (preferred but not required).
