Summary

As the Assistant Regimental Secretary, your main responsibilities will include:

Planning – Ensure that all Regimental events are successful by co-ordinating timely planning meetings with those central to the event. Identify the key elements, activities and milestones required for each event and keep track of completion dates. Duties also including but not limited to, book locations, catering, Military band, RAF flypasts, Red Devils, as required
Liaise with Regimental Colonel and Colleagues to deliver one Command Group and two Regimental Council meetings per year
Delivery – Co-ordinate with department heads and stakeholders, either inside or outside RHQ PARA, to ensure the key elements are completed on time, delivering a smooth event. On the day be the point of contact for the event to facilitate a successful outcome
Work within the budget allocated for each event to give value for money for both the attendees and the Parachute Regiment and Airborne Forces Charity. Produce a comparison for one days pay bi-annually
Collate articles to produce a newsletter and distribute to appropriate partners and the the Airborne Network members in a timely manner
Responsible for the upkeep of the Pegasus Journal subscriptions and any queries arising from that. Production of the distribution list for the Journal and the distribution once printed
Overview of Central Registry to ensure a smooth throughput of work to support RHQ PARA’s aims. Provide top cover of SharePoint and Subscriber Customer Relations Manager (SCRM) record management. Maintenance of MODnet systems, liaising with the key stakeholders to maintain IT systems in support of RHQ PARA. Including amending and creating MODnet accounts
Ensure Mandatory training is completed on time and kept up to date, particularly Data protection. Review data assets quarterly and update the Army Information Asset Register. Give Data Protection advice to colleagues as Data Protection Advisor (DPA) and Post Liaison Officer (PLO) for RHQ PARA
Provide technical support for hybrid and in person meetings in RHQ PARA and at other locations
Support to Civil Service Colleagues – Highlight and give guidance on any changes/incidents regarding HR and MODnet issues
Liaise with Regimental Colonel and appropriate colleagues to produce the Bi-annual Regimental Locations List
Deputising for the Regimental Secretary as required
