HOURS: Mon-Fri 9am - 6 pm Monday to Friday

Alternate Saturdays 9am - 4pm

JOB ROLE:
The Assistant Lettings Manager plays a vital role in supporting the day-to-day operations of the lettings department within a busy letting’s agency. This role involves assisting the Lettings Manager in overseeing the rental process, managing a portfolio of properties, liaising with tenants, landlords, and contractors, and ensuring the smooth running of all lettings activities. The Assistant Lettings Manager is expected to deliver exceptional customer service and contribute to achieving the agency's growth objectives.

JOB DESCRIPTION:

Property Management Support:
Assist in the day-to-day management of rental properties, ensuring compliance with current legislation and regulations.
Coordinate viewings and property inspections, providing feedback to landlords and tenants.
Ensure properties are marketed effectively, maintaining accurate property listings on online platforms.
Assist with arranging repairs, maintenance, and refurbishments for managed properties.

Tenant and Landlord Liaison:
Build and maintain strong relationships with tenants and landlords, providing advice and updates on tenancy matters.
Assist in negotiating tenancy agreements, renewals, and extensions.
Respond to tenant inquiries promptly, ensuring a high level of customer satisfaction.

Lettings Administration:
Manage the application and referencing process for prospective tenants.
Coordinate the preparation and signing of tenancy agreements and other legal documentation.
Ensure all paperwork and tenancy records are kept up-to-date and compliant with legal requirements.

Team Support & Development:
Support and mentor junior lettings staff, providing guidance on best practices and procedures.
Assist the Lettings Manager in training new staff and overseeing their integration into the team.

Financial Management:
Monitor rental payments and arrears, liaising with tenants and landlords to resolve any issues.
Assist in the management of client accounts, ensuring accurate invoicing and tracking of fees.

Compliance & Legislation:
Ensure that the lettings department is fully compliant with all relevant industry regulations, including housing laws and health and safety standards.
Keep up to date with changes in relevant legislation and ensure the team adheres to these standards.

Sales and Business Development:
Actively contribute to the business development strategy by identifying new lettings opportunities and promoting the agency’s services to potential clients.
Support marketing initiatives to increase the agency’s market presence, including conducting property viewings and following up on leads.

General Administration & Reporting:
Assist in preparing regular reports on lettings performance, property availability, and market trends.
Maintain accurate records of all lettings activities, including viewings, applications, and tenant communications.

PERSON SPECIFICATION:

Previous experience in lettings or property management, ideally within a lettings agency, is essential.
Strong understanding of lettings processes, tenant legislation, and property management best practices.
Excellent written and verbal communication skills, with the ability to interact professionally with tenants, landlords, and colleagues.
Strong time management and organisational skills, with the ability to prioritise tasks and manage multiple responsibilities
A customer-focused attitude with the ability to handle challenging situations and resolve conflicts.
Driving license and own vehicle
Proficient in Microsoft Office and lettings agency software platforms
A relevant qualification in property management is preferred, but not essential
