Dr. Laybourn & Partners. - Job Description for Medical Secretary. JOB CONTEXT: TITLE: Secretary. COMPANY: Dr. Laybourn & Partners. REPORTS TO: Practice Manager. BASED AT: York Road and Rookwood. WORKING HOURS: Your hours of work will be dictated by the requirements of the department, but your usual working pattern will be six hours per day Monday to Friday PURPOSE OF YOUR JOB: Provide secretarial services to GPs to ensure the smooth running of the administration support mechanism is in place at all times. RESPONSIBILITIES AND RELATIONSHIPS: STAFF REPORTING TO YOU: None ANNUAL BUDGET: None OTHER RESOURCES: IT Computers, Dictaphones, Telephone Communications. INTERNAL RELATIONSHIPS: Doctors, Nurses, HCAs and Staff. EXTERNAL RELATIONSHIPS: Patients, Hospitals, LTHT, PCT, Visiting Clinical Staff, WYCSA, Contracted Workers, Solicitors, Social Security Depts, SystmOne. TERMS OF EMPLOYMENT: See Practice Terms and Conditions. MAIN ACTIVITIES: Patient Contact: 1 Arrange patient medicals. 2 Deal with desk enquiries and patient telephone calls when necessary. Administration: 1 Deal with the daily incoming and outgoing correspondence, letters and GPs dictated letters. 2 Set up and chase patient hospital and practice appointments. 3 Authorisation of information to DVLA, Benefits Office, Parking Badge Permits and Bus Passes. 4 Notification letters for Patient Referrals to Consultants within the NHS and Privately. 5 Write requesting Patient Authorisation to forward on their medical notes to solicitors, Police Authority, CICA etc. 6 Correspondence with solicitors dealing with patients accident claim forms. 7 Photocopy Patient medical records as requested. 8 Arrange and co-ordinate the Choose and Book system for patients being referred. 9 Cover Rookwood Avenue Medical Centre when their secretary is on holiday or absent. 10 Carry out correspondence relating to GP Registrars. Specific Skills: 1 Dictaphone. 2 Shorthand and Typing. 3 IT set up and running of systems and hardware. 4 Letter composition. Financial: 1 Raise invoices for work undertaken and reports written by GPs and chase their payment. 2 Operate the Medical Centres Petty Cash expenditure and reconciliation. Health and Safety: 1 Observe and adhere to all Legislative rulings made in relation to The Practice. 2 Maintain the levels of all Health and Safety Legislation required within The Practice. 3 Observe The Practice Fire Code and Drill procedures. 4 Stay advised of the current Practice Risk Assessments and advise The Practice Manager of any risks that you might observe. 5 Observe all procedures laid out by The Practice, such as COSHH, PAT Testing, RIDDOR, Manual Handling and VDU Usage. 6 Know how to react to the Panic Alarm system installed in all areas of the Medical Centre.
