Summary

Job Summary: To carry out a variety of administrative tasks and you will be the first point of contact with patients, either on the telephone or in person, and you will be required to respond in a helpful and friendly manner at all times. Provide general assistance to the doctors and the Practice Team. Responsible for the smooth running of the Practice reception. Provide secretarial support to the Doctors, Practice Nurses and Practice Manager(s). Update patient notes summaries and read code appropriate diagnosis from hospital letters as indicated by the Doctor, ANP or Practice Nurse. To carry out monthly computer searches to assist Practice Manager with claims To assist with financial transactions for private certificates, completion of insurance claim forms, undertaking of private HGV Medical examinations etc. Job Responsibilities Reception Receive, assist and direct patients arriving at the Practice Handing completed repeat prescriptions to patients and checking names and addresses Make and cancel appointment requests either by telephone or in person Deal with home visit requests Answer telephone, assist with queries and take messages wherever necessary Liaise with other healthcare Professionals (such as District Nurses, Health Visitors, Midwives etc) Organise hospital transport for emergency admissions at the request of the Doctor Contact patients where necessary Clear Doctors desk after each session and follow up any requests by doctor Inform patients of pathology and hospital results if requested by Doctor or Practice Nurse Use initiative to deal with ad hoc situations that arise in reception Ensure reception and working areas are kept tidy Administration To have a thorough knowledge of all practice procedures To work in accordance of written protocols Scanning & filing correspondence into computer medical records Type referral letters to Hospital Consultants at request of GPs Book appointments for patients using ERS (Electronic Referral Service) Photocopy as requested Open & distribute incoming mail Ensure outgoing mail is taken to the local Post Box daily Continuously validate patient details using correct computer codes Process repeat prescription requests in accordance with the Practice guidelines, including processing of electronic prescriptions Pulling of / filing of patient notes if necessary Ensure completion of patient details on pathology request forms and sample containers Register new patients on the clinical system Process removal of patients from the Practice on a daily basis Ensure patients change of address / telephone numbers are amended onto computer and written notes in a timely manner (have knowledge of the Practice Boundary) Other Tasks Ensure building security have thorough knowledge of doors / windows/ alarm etc Any other tasks allocated by Practice Manager that may be agreed from time to time Information Governance Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data. Information Security Post holder will be responsible for information security as per the advice contained in the document NHS Code of Practice Information Security Management. Data Protection Post holder will be responsible for data protection as per GDPR regulations. Health & Safety The post holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety Policy, to include: Using personal security systems within the workplace according to practice guidelines.
