Summary
Are you highly organised, confident on the phone, and experienced with spreadsheets? We’re looking for a reliable Office Administrator to join our team and be the first point of contact for tenant repair and maintenance queries.
Key Responsibilities:
Handle inbound calls and emails from tenants regarding property issues
Log and update maintenance requests in a coherent spreadsheet/database
Assess and determine the appropriate contractor/trade (e.g. plumbing, electrical, gas, general repairs)
Liaise with contractors to obtain quotes, assign jobs, and book appointments
Monitor and maintain schedules for key compliance tasks, such as gas safety certificates and electrical checks
Ensure all relevant records are kept up to date and organised
Provide regular updates to management on outstanding jobs and priorities
✅ Requirements:
Strong organisational and communication skills
Comfortable managing spreadsheets (Excel or Google Sheets)
Ability to assess situations and make decisions independently
Experience liaising with contractors or coordinating maintenance is a plus
Professional and courteous manner when dealing with tenants
Ideal for someone who:
Has a background in property management, admin, or facilities coordination
Enjoys problem-solving and thrives in a fast-paced environment
Takes initiative and is happy to work independently once trained
