An opportunity has arisen for a well-organised and effective individual to join the Children and Family Services Business Support Team as a Locality Business Support Assistant.

This role is part of the wider Business Support Service and as such an important part of this role is to provide back up to colleagues across locality areas and to assist in handling urgent work on a day-to-day basis.

About the Role

As a Locality Business Support Assistant, you will join a friendly, motivated team committed to providing excellent customer service.

Main Duties and Responsibilities

  • Receive visitors and respond to and screen telephone calls, emails and other enquiries to provide a high level of customer care whilst maintaining confidentiality at all times.
  • Produce letters, reports, emails and spreadsheets using a variety of software packages and to organise, attend and take minutes of meetings including all preparation required prior to the meeting.
  • Ensure the Health and Safety of all users and all staff, including risk management and incident reporting and to be responsible for the day-to-day maintenance of the building and sites and liaise with staff and other agencies as necessary.
  • Process and maintain monthly Imprest/IRS returns, ordering goods by using I-Procurement and PCards, and keep records of finances and maintain local inventories.
  • Manage and co-ordinate a busy workload of incoming and outgoing correspondence and take appropriate action, using own initiative as required to resolve non-complex queries and problems.
  • Input data for an electronic calendar system for the relevant district/locality.
  • Input data using our in-house database and excel, generating reports as required and recording statistical information.

About You

Please refer to the below criteria giving examples of how you meet the criteria within your application:

  • Hold recognised academic qualifications e.g. 'GCSE', 'A' Levels, Vocational Quals, Professional/Further Education Quals in relevant area. NVQ 2 in Business Administration or equivalent, or equivalent level of relevant experience.
  • Have good computer skills, including MS Word, Excel and Access.
  • Have good organisational skills.
  • Have excellent customer care skills and a full understanding of the need to maintain confidentiality.
  • Be able to produce accurate work to deadlines.
  • Be able to work effectively as a member of a team.
  • Have the ability to prioritise own workload and work under minimum supervision, with a flexible approach.
