We have an incredibly exciting and rare opportunity to be part of a new community mental health pilot. This centre will hold a major national profile with NHS England who are hoping that the pilot will radically transform how we deliver mental health care in the UK.

The post holder will provide admin support to the clinical team and will also provide admin support to various panels in Lewisham, taking minutes, dealing with and managing contracts and invoices for funded placements i.e. Residential and Nursing care homes. You will work with your counterpart in the council with the spreadsheet for the placements, invoices etc. and to provide required data for the funded placements. You would manage e-roster for the team.



South London and Maudsley NHS Foundation Trust(SLaM) offer the widest range of NHS mental health services in the UK as well as substance misuse services for people who are addicted to drugs and alcohol. We work closely with the Institute of Psychiatry, Psychology and Neuroscience (IoPPN), King's College London and are part of King's Health Partners Academic Health Sciences Centre. There are very few organisations in the world that have such wide-ranging capabilities working with mental illness. Our scope is unique because it is built on three major foundations: care and treatment, science and research, and training.

SLaM employ around 5000 staff and serve a local population of 1.1 million people. We have more than 230 services including inpatient wards, outpatient and community services. Currently, provide inpatient care for approximately 5,300 people each year and treat more than 45,000 patients in the community in Croydon, Lambeth, Lewisham and Southwark; as well as substance misuse services for residents of Bexley, Bromley and Greenwich.

Key Responsibilities:

Senior Reception / Administrative duties:

· To deal professionally with queries from visitors and telephone callers, ensuring messages are delivered accurately and efficiently. Resolving local issues and using initiative to take follow-up action when appropriate. Record messages on electronic Patient Journey System (ePJS) when applicable.

· To provide proactive and comprehensive senior reception and administrative support to ensure that all office procedures are carried out efficiently and where necessary initiate new ones bringing ideas to the team in order to maximise effective working.

· To provide cover for other administrative staff within the service during periods of absence, ensuring junior admin staff duties are completed where required

· To collate and provide performance data as required on a regular basis as identified to the Business Manager

· Monitor and update operational data quality information proactively to ensure targets and standards are met.

· To be jointly responsible for updating and maintaining the Service Website.

· Assist with the induction of new staff to the team and to assist with other staffing set ups as necessary.

· Provide supervision to junior admin staff on a regular basis (monthly) where delegated and as appropriate, identifying training and development needs. To maintain full and appropriate signed written records of all supervision sessions

· To address issues of poor performance in conjunction with the Business Manager in accordance with Trust Policy and Procedure.

· To comply with data protection requests.

· To work in a flexible and open manner in line with the needs of the service. To attend regular supervision and annual appraisal meetings.

· To undertake any other duties considered relevant by the management of Lewisham Community Mental Health Team as appropriate to the banding of this post, as negotiated with the Business Manager.

· To provide cover for the Business Manager on an adhoc basis as required.

Service Requirements

Provide cover for colleagues within Lewisham Community Mental Health Team sites as required.

Assist teams with the development of patient information and team leaflets.

Attend and participate in administrative team meetings to assist in the implementation and continual review of systems to ensure best practice.

Jointly undertake monthly Health & Safety Inspection Checklists and Fire Warden Checklist across sites and submit to the Business Manager.

In conjunction with the Business Manager complete various risk assessments ass appropriate using the Assess Net system.

To escalate Health & Safety issues via the appropriate channels.

Assist in service-user feedback and Patient, Participation and Involvement.

Post holder may be required to work outside of core hours in line with service need.

To work alongside the Business Manager to ensure that the monthly e-roster is updated and ensuring that this is checked and signed off by the Team Manager.

Personal Development



Participate in development and training identified through the appraisal and supervision process as well as attendance and participation in all identified mandatory training.

To identify areas of interest to support professional development.

Other

Ensure all duties done in line with Trust policy. Carry out other duties appropriate to the grade as required. Keep up to date with relevant Trust policies and developments within the NHS including Business Continuity Plans and Care Quality Commission.
