Role Summary
As the first point of contact for visitors, families, staff, and students, the School Office Administrator is the welcoming face of Pathways. You will be warm, professional, and highly organised, with the ability to confidently support a dynamic school environment. This role primarily supports the School Business Manager and Senior Leadership Team, while also playing a key part in safeguarding and daily operations. Due to the small, nurturing setting, you will build strong relationships with learners and be confident engaging with them, modelling and living out the principles and ethos of the school community.

Key Responsibilities
Reception & Front Desk
• Welcome all visitors, staff, and students in a warm and professional manner.
• Answer calls, handle enquiries, and direct messages as needed.
• Ensure all visitors sign in/out, wear appropriate ID, and receive safeguarding and fire safety briefings.
• Offer refreshments to visitors when appropriate.
• Ensure the environment remains calm, welcoming, and well-kept to reflect the caring and inclusive ethos of the school.
• Prepare registers and grab bags for off-site visits and emergency evacuations.
General Administration
• Monitor the main inbox, responding to or forwarding emails promptly and professionally.
• Manage school-wide and individual communications via the MIS.
• Maintain up-to-date student records, including admissions and attendance data.
• Organise parents’ evenings and review meetings, including booking systems and communications.
• Support SLT with preparations for audits, inspections, open days, training events, and trips.
• Place orders with the finance team and coordinate delivery and distribution of resources.
• Support the setup of the new school year on Arbor and manage data reporting requirements.
• Liaise with external organisations as required.
HR & Recruitment
• Post vacancies and support the recruitment process, including interview coordination and candidate communication.
• Maintain staff induction and training records.
• Finance & Procurement
• Manage petty cash in line with school policies.
• Arrange travel and accommodation bookings for staff when necessary.
Safeguarding & Compliance
• Uphold high standards of professionalism and follow KCSIE guidance.
• Ensure visitors follow all ID and safeguarding protocols.
• Distribute and track safeguarding training quizzes.
• Maintain safeguarding and health & safety documentation.
• Update and circulate fire plans, policies, and other key procedures.
• To act as a Deputy Designated Safeguarding Lead (DDSL) with training provided.
Attendance & Data
• Monitor student attendance daily, seeking reasons for absence.
• Produce attendance reports as necessary.
• Manage CTF files and ensure all records are kept securely.
• Assist with data collection and reporting for internal and external purposes.
• Marketing & communications
• Support updates to the school website, prospectus, calendars, and promotional content.
Team Support & Housekeeping
• Attend morning briefings and contribute to a positive, collaborative working culture.
• Support general housekeeping to maintain a calm and orderly environment.
• Provide administrative support for staff training and other internal events.
Person Specification
Essential
Education & Experience
• Strong literacy and numeracy skills.
• Proficiency in Microsoft Word, Excel, and PowerPoint.
• Previous experience in an administrative or reception-based role.
Skills & Attributes
• Ability to communicate clearly and effectively with a range of audiences, using methods that suit the context and individual needs.
• High attention to detail and accuracy.
• Strong organisational and problem-solving abilities.
• Discretion, confidentiality, and sound professional judgement.
• Confident digital skills.
• Awareness of safeguarding and child protection (training provided).
• Ability to work both independently and as part of a team.
