Are you a detail-oriented and proactive administrator looking to support a busy operational team? We’re looking for a Fleet Services Administrator to join our Fleet and Maintenance Services function at Royal Mail. This role offers the opportunity to contribute to the smooth running of our workshop operations through essential administrative support.
About the Role
Reporting to the Workshop Manager, you’ll be responsible for a variety of administrative tasks that support both the manager and the wider team. You’ll help manage systems, coordinate communications, and ensure accurate data handling across multiple platforms, contributing to daily, weekly, and monthly operational targets.
Key Responsibilities:
- Provide full administrative support to the Workshop Manager and wider team.
- Manage SAP and PSP systems, including data input and reconciliation.
- Support diary management and email handling for the FSM.
- Maintain accurate records and filing systems (electronic and hard copy).
- Liaise with internal teams and external suppliers to resolve queries.
- Ensure strict compliance with Royal Mail’s health and safety procedures.
The role will be based at our Swindon site but you may be asked to travel to another site in the local cluster (approx. 3-4 days a month). Sites include Oxford and Gloucester.
About You
You’re a confident communicator with strong organisational skills and a flexible, team-oriented approach. You’re comfortable working independently within a structured framework and have a keen eye for detail.
What You’ll Bring:
- Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with M5, SAP, and PSP is desirable.
- Strong organisational and time management skills.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Good numeracy and data analysis skills.
- Willingness to learn internal systems and processes, including finance and procurement procedures.
