A fantastic opportunity to join our 5-star team at voco St David’s Cardiff as a Reservations, Groups, Meetings & Events Coordinator on a 12-month fixed-term contract covering maternity leave!

Salary: £27,040 + 10% annual bonus

As a Reservations, Groups, Meeting & Events Coordinator, you will be:

  • Managing group bookings and coordinating all aspects of meetings and events, from initial enquiry to post-event follow-up.

  • Handling reservations for individual and group guests, ensuring accuracy and efficiency in all bookings.

  • Liaising with clients to understand their needs and provide tailored solutions that exceed expectations.

  • Collaborating with internal departments (e.g. Sales, Front Office, Food & Beverage) to ensure seamless event execution.

  • Maintaining accurate records in our booking systems and producing reports as required.

  • Responding to enquiries via phone and email in a timely, professional, and friendly manner.

  • Supporting revenue targets by upselling services and identifying opportunities to maximise bookings.

  • Supporting proactive sales efforts

  • All bookings will be made via our in-house system, creating written confirmations & function sheets.

Given the nature of this role it’s important that you have some Reservations, Groups, Meeting & Events experience. Whether you have previously worked in a hotel or destination venues, work in Sales administration role, this may be the role for you.

To succeed as a Reservations, Groups, Meeting & Events Coordinator, you will need:

  • To ensure enquiries are managed to maximise sales, occupancy and revenue, including up-selling equipment, F&B and relevant hotel facilities wherever possible

  • To accurately input all enquiries into Sales and Catering system

  • To compile accurate function sheets, distributing weekly and discussing with Operations Team, accordingly, providing updates as require

  • To actively work as part of a team to achieve the department objectives and budget

  • To actively consider prevention, recovery and investigation of any complaints

  • To liaise with clients to ensure that accurate details for each event & reservation are obtained

  • To establish client requirements and identifying how the hotel can facilitate their needs

  • To consistently deliver an excellent service to all guests and clients making enquiries or bookings at the hotel, with face to face and telephone meetings.

  • To respond to all M&E enquiries in-line with company standard

  • To be confident making & receiving calls
